Full Job Description

Job Summary

We are seeking a dependable, detail-oriented Bookkeeper / Vendor Relations Specialist to join our team. This position will handle day-to-day bookkeeping responsibilities while also serving as a key point of contact for our vendors and suppliers.

The ideal candidate is organized, accurate, comfortable working with numbers, and able to communicate professionally with vendors and internal team members. Strong experience with QuickBooks and Microsoft 365, particularly Excel and Outlook, is important for this role.

Responsibilities

Manage day-to-day bookkeeping activities using QuickBooks.
Process accounts payable and accounts receivable transactions.
Review, enter, and process vendor invoices accurately and on time.
Perform bank and account reconciliations.
Maintain accurate general ledger records.
Maintain vendor information, payment records, contracts, and other documentation.
Communicate directly with vendors regarding invoices, payments, discrepancies, credits, and account questions.
Resolve billing and payment issues in a professional and timely manner.
Assist with financial reports and other accounting-related documentation.
Monitor transactions and identify discrepancies or errors requiring correction.
Assist with budgeting and forecasting as needed.
Use Excel, Outlook, Word, and other Microsoft 365 applications for reporting, tracking, and communication.
Assist with audits and provide requested financial documentation.
Maintain organized and accurate financial and vendor records.
Support the accounting team with additional administrative and financial responsibilities as needed.

Qualifications

Previous bookkeeping, accounting, accounts payable, accounts receivable, or similar financial experience.
Experience working with vendors and suppliers preferred.
Proficiency with QuickBooks.
Proficiency with Microsoft 365, especially Excel and Outlook.
Strong understanding of basic accounting and bookkeeping principles.
High level of accuracy and attention to detail.
Strong organizational and time-management skills.
Ability to manage multiple priorities in a fast-paced environment.
Strong written and verbal communication skills.
Ability to work independently while also contributing as part of a team.
Associate degree in Accounting, Finance, Business, or a related field preferred; relevant experience may be considered in place of a degree.
