Full Job Description

HOA Organizers is seeking a professional, organized, and service-oriented Part-Time Community Manager Assistant to provide administrative and operational support for a community located in Porter Ranch.

This position will work closely with the Community Manager and management team to assist with day-to-day community operations, homeowner communications, vendor coordination, work orders, compliance matters, and general administrative responsibilities.

The ideal candidate is highly organized, responsive, comfortable communicating with homeowners and vendors, and able to manage multiple priorities independently in a remote work environment.

Key Responsibilities

Provide administrative support to the Community Manager and management team
Respond to homeowner inquiries by phone and email in a professional and timely manner
Assist with homeowner correspondence, notices, and community communications
Maintain accurate electronic homeowner, vendor, and community records
Assist with work order creation, tracking, and follow-up
Communicate with vendors regarding scheduling, service requests, outstanding items, and project updates
Track open maintenance and operational items and follow up as necessary
Assist with violation processing, including preparing and sending violation notices and maintaining appropriate records
Assist with architectural and homeowner requests as assigned
Coordinate and track move-in/move-out requests and related documentation, when applicable
Assist with preparation and distribution of newsletters, notices, meeting materials, and other community communications
Assist with Board meeting preparation and administrative follow-up
Attend Board meetings remotely when applicable
Maintain organized digital files and documentation
Assist with tracking vendor proposals, contracts, insurance documents, and other required documentation
Follow established HOA policies, procedures, governing documents, and management protocols
Escalate homeowner, vendor, maintenance, or compliance matters to the Community Manager when appropriate
Provide additional administrative and community management support as assigned

Qualifications

Prior administrative experience required; community association, property management, or real estate experience preferred
Strong organizational and time-management skills
Excellent written and verbal communication skills
Professional and customer-service-oriented demeanor
Strong attention to detail and ability to follow through on outstanding items
Ability to prioritize multiple assignments and meet deadlines
Ability to work independently and remain productive in a remote environment
Ability to handle confidential and sensitive information professionally
Proficiency with Microsoft Office, including Outlook, Word, and Excel
Comfortable learning and utilizing HOA/property management software and other technology platforms
Reliable internet connection and appropriate remote work environment
HOA industry credentials or experience are a plus but not required

Schedule & Compensation

Approximately 10 hours per week
$20.00–$24.00 per hour, depending on experience
Part-time position
Schedule may require flexibility based on community needs and Board meetings
