Responsibilities
Patient Care & Front Desk Operations
- Greet patients and visitors warmly, ensuring a positive first impression of the practice.
- Manage patient check-in and check-out procedures, including verifying personal and insurance information, updating records, and collecting co-payments or outstanding balances.
- Schedule, confirm, and reschedule patient appointments, maintaining an organized and up-to-date calendar for providers.
- Answer multi-line phone systems promptly and professionally, directing calls efficiently and addressing patient inquiries accurately and courteously.
- Coordinate with clinical staff to ensure smooth patient flow and timely appointments.
Administrative & Office Support
- Assist with general office management tasks including calendar management, faxing, photocopying, and email correspondence.
- Maintain patient records in accordance with office policies and confidentiality standards.
- Maintain an organized reception area and ensure all office supplies are stocked and well-managed.
- Support insurance verification, billing coordination, and other administrative functions as needed.
Skills & Qualifications
- Bilingual abilities are highly desirable to effectively communicate with diverse patients and team members.
- Excellent phone etiquette and experience answering multi-line phone systems with professionalism.
- Proven clerical experience with a focus on customer service and patient communication.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills.
- Exceptional organizational skills with the ability to prioritize tasks efficiently.
- Effective time management skills to handle multiple responsibilities simultaneously.
- Previous experience in office or administrative roles that involve calendar management and scheduling.
- 1 year of prior dental office experience is considered an added advantage, particularly familiarity with dental terminology, insurance processes, or practice management software.
