Position Overview
Powerhouse Electrical Solutions is seeking a highly organized and proactive Part-Time Office Manager & Operations Coordinator to help manage the day-to-day administrative and operational needs of our growing electrical contracting business.
This person will serve as the central point of communication between customers, technicians, inspectors, permitting departments, vendors, and company leadership. Responsibilities will include coordinating complex schedules, managing permits and inspections, supporting field operations, maintaining accurate records, and helping ensure that projects move efficiently from the initial customer call through completion.
The ideal candidate takes ownership of their work, communicates clearly, follows through on details, and can confidently manage multiple priorities. Experience in construction, home services, business operations, dispatching, call center operations, or complex scheduling is strongly preferred.
Work Schedule
- Part-time: 12–18 hours per week
- Monday through Friday
- Hybrid position with both remote and on-site responsibilities
- Flexible scheduling between 8:30 a.m. and 5:00 p.m.
- Exact working hours will be determined based on the employee’s availability and the needs of the business
Because this position supports active field operations, consistent availability during agreed-upon business hours is important.
Key Responsibilities Office and Operations Management
- Coordinate the daily administrative and operational needs of the office.
- Help maintain efficient workflows between the office, field technicians, customers, vendors, and company leadership.
- Monitor active jobs and help ensure that required administrative steps are completed on time.
- Maintain organized digital and physical records, including customer information, job documents, permits, inspection results, and project-related correspondence.
- Assist with developing and maintaining office procedures, checklists, and internal systems.
- Identify scheduling conflicts, missing information, and operational issues before they cause delays.
- Support company leadership with general administrative duties and special projects as needed.
Scheduling and Dispatch Coordination
- Answer incoming phone calls, emails, website inquiries, social media messages, and voicemails in a friendly and professional manner.
- Schedule service appointments, estimates, installations, inspections, and project-related visits.
- Create and update customer profiles, jobs, work orders, and appointment details within the company’s field management software.
- Coordinate technicians’ schedules based on job priority, location, project requirements, customer availability, and technician capacity.
- Communicate schedule changes, job updates, and customer needs to technicians and company leadership.
- Confirm appointments and ensure technicians have the information and documentation needed before arriving at a job.
- Respond promptly to new leads and help move prospective customers through the scheduling process.
- Adjust schedules as unexpected service calls, job delays, cancellations, or emergencies arise.
- Schedule required electrical inspections and coordinate access with customers, technicians, inspectors, and project partners.
Customer Service and Follow-Up
- Serve as a knowledgeable and professional point of contact throughout the customer’s experience.
- Provide accurate information regarding services, scheduling, appointment expectations, and company policies.
- Communicate delays, schedule changes, and project updates clearly and promptly.
- Follow up with customers after completed service visits to confirm satisfaction and address outstanding concerns.
- Request customer feedback and online reviews following successful projects.
- Help resolve customer questions or concerns and escalate issues to leadership when appropriate.
Additional Administrative Duties
- Perform data entry and maintain accurate customer, job, and scheduling records.
- Organize estimates, invoices, contracts, photos, permits, and other job documentation.
- Assist with vendor communication, material coordination, and document collection when needed.
- Monitor office email, voicemail, and other communication channels.
- Help track outstanding estimates, open jobs, permits, inspections, and customer follow-ups.
- Assist with basic reporting and administrative tracking.
- Participate in ongoing training to strengthen operational, customer service, and industry knowledge.
- Perform other office and operations-related duties as assigned.
Qualifications
- Previous experience in office management, business operations, construction administration, dispatching, complex scheduling, call center operations, or customer service is strongly preferred.
- Experience working for an electrical, HVAC, plumbing, construction, home service, or field service company is a significant plus.
- Experience coordinating permits and inspections is preferred but not required.
- Background or education in business management, construction management, office administration, or a related field is a plus.
- Comfortable taking initiative and working independently without constant supervision.
- Strong problem-solving skills and the ability to remain calm when schedules or priorities change.
- Proficient with email, Google Workspace, spreadsheets, and CRM or scheduling software.
- Experience with field service management software is a plus.
- Ability to learn new software, systems, and processes quickly.
- Reliable internet connection and a quiet, professional workspace when working remotely.

Compensation and Benefits
- Starting pay: $18.95–$21.00 per hour, based on experience
