Full Job Description

The Gudorf Family Office is building an integrated professional services organization that brings together estate planning, tax preparation, wealth management, and related businesses to provide clients with a coordinated approach to protecting their families, businesses, and financial futures.

As our tax practice continues to grow, we're seeking a highly organized, technology-driven Tax Operations Coordinator to oversee the day-to-day workflow of the practice and ensure an exceptional experience for both clients and our team.

This is much more than an administrative position. It is an operations role that keeps hundreds of tax returns moving efficiently while coordinating the daily activities of our tax professionals and serving as the primary communication hub for our clients.

About the Opportunity

The Tax Operations Coordinator serves as the operational backbone of the tax practice.

Each year, you'll help coordinate approximately 500 tax returns, nearly half of which come through referrals from our estate planning and financial planning teams. Your role is to ensure every return moves efficiently from client intake through completion while delivering outstanding client service every step of the way.

During tax season, you'll coordinate the daily workflow for four CPAs, supervise seasonal administrative staff, monitor deadlines, and keep clients informed. During the remainder of the year, you'll broaden your responsibilities by supporting accounts payable and other operational initiatives across the Gudorf Family Office.

Key Responsibilities

Coordinate the workflow for approximately 500 individual and business tax returns each year.
Coordinate the daily work schedule and priorities for four CPAs during tax season to ensure returns move efficiently and deadlines are met.
Supervise and support temporary tax season staff, providing direction and helping maintain an organized, productive office.
Serve as the primary point of contact for tax clients, as well as our estate administration and financial planning teams, ensuring tax documents are received, uploaded, and routed promptly.
Schedule client appointments and coordinate communications throughout the tax preparation process.
Monitor the status of every tax return from intake through delivery, proactively following up on missing information and approaching deadlines.
Manage client communications by phone, email, and text while delivering an exceptional client experience.
Prepare engagement letters, tax organizers, client correspondence, and administrative documentation.
Utilize tax software, Microsoft Office, document management systems, and AI tools to improve efficiency and workflow.
Identify opportunities to improve administrative processes and the overall client experience.
Outside of tax season, manage accounts payable for the Gudorf Family Office, including credit card processing, check preparation, and payment coordination.
Over time, expand responsibilities to include billing and accounts receivable functions.
Support additional projects and operational initiatives across the integrated organization as business needs evolve.

Seasonal Expectations

Tax season is the busiest and most rewarding time of the year. From approximately February 15 through April 15, this position typically requires an additional 5 to 7 hours per week as we work together to meet important filing deadlines and deliver exceptional client service.

Preferred Qualifications

Experience in a tax practice, CPA firm, accounting office, financial services, legal office, or other professional services environment.
Experience coordinating projects, office operations, schedules, or workflow.
Strong Microsoft Outlook, Word, Excel, and Adobe Acrobat skills.
Experience with tax software, document management systems, or client portals is preferred.
Accounting, bookkeeping, or accounts payable experience is a plus.
