Event Coordinator

JOB DESCRIPTION

Job Title: Event Coordinator

Rate: $35k - $45k salary plus commissions

Reports To: Chief Operating Officer

SUMMARY

Looking for a friendly, organized individual to sell, plan, and execute large party events at our Detroit based restaurants. You will use your extensive knowledge of our food and beverage menus to guide guests through a wonderful private event experience.

RESPONSIBILITIES:

Seek out new business.

Communicate with guests who have event inquiries.

Planning, executing, and collecting payment for events.

Maintain tracking of inquiries, execution, and revenue of all events.

Maintain and develop promotional materials for events.

Work in the restaurants to familiarize oneself for better event execution.

Maintaining a clean work area and adhering to health department standards.

Cash handling and payment processing.

Requirements:

Must be able to lift 50 lbs.
High School diploma or equivalent.
Capacity to work in a fast paced environment.
Availability to work weekends and holidays.
Knowledge of food safety procedures.

We are seeking an experienced and detail-oriented Event Coordinator to join our team. As an Event Coordinator, you will be responsible for planning and executing a wide range of events, ensuring they run smoothly and meet the expectations of our clients. This is a dynamic role that requires excellent organizational skills, strong attention to detail, and the ability to multitask effectively.

Duties Include
- Coordinate all aspects of event planning, including venue selection, catering arrangements, audiovisual setup, and transportation logistics
- Develop and manage event budgets, ensuring all expenses are accounted for and within budgetary constraints
- Negotiate contracts with vendors and suppliers to secure the best possible pricing and terms
- Collaborate with clients to understand their event objectives and preferences, and provide recommendations based on their needs
- Oversee event setup and teardown, ensuring all equipment and materials are properly arranged and stored
- Manage event timelines to ensure all activities are executed on schedule
- Provide exceptional customer service to clients throughout the planning process and during the event itself
- Handle guest inquiries and resolve any issues or concerns in a timely manner
- Assist with fundraising efforts by coordinating events that generate revenue for our organization

Required Skills
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail to ensure all aspects of an event are properly planned and executed
- Exceptional customer service skills to provide a positive experience for clients and guests
- Proficient in budgeting and financial management to ensure events stay within budgetary constraints
- Strong negotiation skills to secure favorable contracts with vendors and suppliers
- Knowledge of catering arrangements and menu planning for events that involve food service
- Familiarity with hotel accommodations and room block management for out-of-town guests
- Ability to multitask effectively in a fast-paced environment while maintaining a high level of professionalism
- Experience in fundraising event coordination is a plus
- Previous experience in the restaurant or hospitality industry is preferred
