Position Summary:
Key Roles/Responsibilities:
- Greet in-person visitors and/or callers; handle inquiries or direct them to the appropriate person according to their needs while always providing great experience and leading with a customer service mentality.
- Provide administrative support to the President and executive leadership team, including calendar management, scheduling meetings, coordinating appointments, and ensuring executives are well-organized and prepared for meetings and events.
- Maintain executive and company calendars, including scheduling and confirming appointments, coordinating meetings, and managing scheduling conflicts.
- Coordinate and book travel arrangements for executives and other employees as needed.
- Create and maintain databases.
- Set up and maintain paper or electronic filing systems.
- Maintain confidentiality of business, client, executive, employee, and other sensitive information.
- Assist with the coordination and planning of company meetings, including preparing materials, coordinating logistics, and managing meeting schedules.
- Assist with expense reporting.
- Assist with and coordinate marketing initiatives.
- Support executives with organizational tasks, follow-up activities, and administrative projects to ensure priorities are managed effectively.
- Work with other employees as a team to accomplish assigned tasks and projects.
- Other duties and special projects, as assigned.
Required Education, Experience, and Qualifications
- High school diploma or equivalent required.
- One (1) or more year of experience in an office environment in an administrative role.
- Knowledge of administrative and clerical procedures and systems.
- Able to read, speak and write in English.
- Proficiency with Office software products (Word, Excel, Outlook, et cetera).
- Able to work under stressful conditions at times.
- Strong work ethics of integrity and honesty and strives for excellence in all activities.
- Ability to lift, push, and/or pull up to thirty-five (35) pounds without strain or injury.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift, up to 35 pounds at times.
- Positions self to install equipment, including under desks
- Moves throughout the building to access files.
- Able to work under stressful conditions at times.
