Overview

We are seeking a dynamic and organized Part-Time Office Manager to join our team and ensure the smooth operation of our office environment. This role offers an exciting opportunity for someone with strong administrative, organizational, and communication skills to contribute to a professional setting. As a vital part of our team, you will oversee daily office functions, manage schedules, coordinate vendor relationships, and support team members with a variety of administrative tasks. Your proactive approach and attention to detail will help foster an efficient, welcoming workplace that promotes productivity and positive client interactions.

Responsibilities

Manage daily office operations, including filing, calendar management, and clerical duties to ensure seamless workflow.
Coordinate meetings, events, and appointments with precision, handling logistics such as venue setup and catering arrangements when needed.
Oversee vendor relationships, including negotiating contracts, managing supplies inventory, and ensuring timely deliveries.
Supervise administrative staff or interns by providing training, guidance, and support to foster a collaborative team environment.
Handle human resources functions such as onboarding new employees or contractors, maintaining confidential personnel records, and supporting payroll processes using financial software like QuickBooks or other accounting tools.
Maintain accurate bookkeeping records, manage budgets, and perform basic accounting tasks to support financial health.
Communicate effectively with clients and team members via phone and email while practicing excellent phone etiquette and customer service skills.
Utilize Microsoft Office Suite—including spreadsheets—to track data, prepare reports, and organize information efficiently.
Ensure compliance with confidentiality standards when handling sensitive information related to office operations or personnel.

Experience

Proven experience in office management or administrative roles within a professional environment.
Demonstrated supervisory experience overseeing teams or managing staff members effectively.
Familiarity with accounting software such as QuickBooks or similar financial management tools.
Strong background in bookkeeping, budgeting, and basic accounting practices.
Experience coordinating events or managing logistics for meetings or company functions.
Proficiency in Microsoft Office applications including Word, Excel (spreadsheets), and Outlook for scheduling and communication purposes.
Knowledge of vendor management practices and building positive supplier relationships.
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
Exceptional communication skills—both verbal and written—with a focus on client service excellence.
Ability to handle confidential information discreetly while maintaining professionalism at all times.
