Job Overview
We are seeking an energetic and highly organized RECEPTIONIST/SCHEDULER to join our dynamic team! In this vital role, you will serve as the first point of contact for clients and visitors, managing front desk operations with enthusiasm and professionalism. Your exceptional organizational skills and friendly demeanor will ensure smooth daily operations, efficient appointment scheduling, and outstanding customer support. This paid position offers an exciting opportunity to be the welcoming face of our organization while supporting office management functions.

Duties

Greet visitors and clients warmly, creating a positive first impression
Manage multi-line phone systems, directing calls accurately and courteously
Schedule appointments, meetings, and follow-ups using calendar management tools
Maintain organized files, data entry records, and office documentation
Handle incoming and outgoing correspondence with attention to detail and proofreading skills
Support office management tasks such as filing, inventory tracking, and basic bookkeeping using QuickBooks or similar software
Provide exceptional customer service through phone etiquette and prompt assistance
Assist with administrative tasks including typing reports, managing Google Workspace documents, and supporting personal assistant duties as needed

Skills

Proven experience in front desk operations and office management roles
Strong computer literacy
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Experience with multi-line phone systems and professional phone etiquette
Clerical experience including data entry, proofreading, filing, and calendar management
Exceptional time management skills to prioritize tasks effectively
Customer service expertise with a friendly, professional demeanor
