Job Summary:
Reporting to the Manager of the Volunteer Department, the Volunteer Program Administrator is responsible for performing, coordinating, and overseeing the department’s administrative functions to support effective program operations, client communications, contract compliance, financial accountability, and high-quality service delivery. Primary responsibilities include client intake and eligibility coordination, application review and approval tracking, client and project data management, contract billing and reporting, receivables and financial tracking, monitoring preparation, records management, and departmental communications.
This position oversees data integrity, documentation standards, and administrative workflows and works closely with the Volunteer Department Manager, Volunteer Coordinator, Program Operations, Finance, Data and Evaluation Analyst, contract and community partners, and the HMR administrative team to ensure departmental activities are accurately documented, reported, billed, and completed in accordance with organizational procedures and funder requirements.
Essential Responsibilities:
Billing & Reporting
- Collect backup documentation and prepare invoices for reimbursement
- Complete monthly project billings and reporting for all projects including CDBG
- Monitoring and review support for local government contracts
- Support the review and analyzation of grant performance with Manager
Budgetary & Financial
- Monthly Program Financial Review with Manager
- Monthly Program GL reclassifications
- Support for SEFA preparation for all Vol Dept Federal Grants
- Credit Card, WEX Cards, Home Depot Cards management and reporting
Intake and Applications
- Will answer and direct phone calls and voicemails
- Respond to inquiries from clients, customers, employees, etc. and provide requested information and/or application
- Send, receive, review, approve, and direct dissemination of client applications
- ADP/client code creation and document routing
- Support monitoring preparation, including collecting, organizing, reviewing, and submitting required monitoring documentation for the Volunteer Department
Communications & Scheduling
- Community client and volunteer outreach
- Support Project Management Intern Training for administrative requirements
- Participate in weekly all department meetings
- Assist in coordinating media and promotion of Volunteer Department activities
Data Input & Management
- Oversee program data input, data integrity, and reporting
- Collaboration with BRI Data Analyst and Manager on year-end reporting
- Input and update client and project information in QuickBase including client and volunteer surveys
- Monthly reporting on client and project outcomes
- Monthly data cleanup on QuickBase, SharePoint, and client and volunteer surveys
- Upload and track client files in SharePoint
- Support Vol Dept staff in uploading project documentation to SharePoint
- Support the organization and clarity of the Vol Dept SharePoint folder

Education & Experience:
- Ability to prioritize assigned duties. Ability to prioritize daily office duties.
- Knowledge of telephone systems and ability to handle many office calls.
- Strong people skills.
- Bilingual preferred.
- Must hold a valid driver’s license with a clean driving record, insurance, and reliable transportation.

LOCATION:
This position will require training onsite for the first three months located in metro Denver, near I-25 and 58th, and once training period is complete, the position may transition to a hybrid working schedule with three days a week in office required. Hybrid working schedules require use of high-speed internet service. This is an office environment, with some travel to attend dedicated events and/or attend meetings.

- Most of the duties are varied and regularly require analysis, comprehension, or limited judgment and discretion. Some of the duties may not conform to standard practices requiring the use of analysis and interpretation to resolve problems.

- Occasional (1-33%): Standing, walking, stair overhead bending, squatting, kneeling, stooping, crouching, climbing, twisting, side bending, overhead reach, talking to customers, written communication to customers.
DESCRIPTION OF TASKS:
- Pushing/Pulling: Occasional pushing/pulling is required when the employee is using a hand truck to move files or office supplies. Force pounds were estimated to be up to 25LB.
- Lifting/Carrying: Occasional lifting/carrying is required when the employee is moving files, boxes, and office supplies. Force pounds were estimated to be up to 25LB.
- Sitting: The employee sits constantly at a workstation or desk.
- Standing/Walking: Alternate standing and walking is performed occasionally when an employee is walking to make copies at the copying machine, faxing documents, or going to assist others in the company.
- Climbing: Climbing is performed when the employee needs to climb onto a step stool to reach items on shelves.
- Bending/Stooping/Crouching: Forward torso bending, stooping, and crouching may be preference of the worker when reaching or material handling at lowered work surfaces, and/or reaching for items on the lower shelves.
- Squatting/Kneeling: These techniques can be used by the employee when performing lifting, carrying, or with position tolerance tasks. Squatting/kneeling can be applied up to 1/3 of the workday.
This position has regular verbal and written contact with administrative personnel, middle, and senior management. The nature of these communications ranges from a routine exchange of information to a process of securing information and/or responding to inquiries where explanation and discussion may be required using judgment.
Vision and Hearing:
Must be able to clearly see the computer monitor with or without corrected vision. Must be able to judge or distinguish distance and space relationships.
