Office Manager – Medical Clinic

Company: Alleviate Pain Solutions
Position: Office Manager
Pay: Starting at $23.00 per hour, DOE (Depending on Experience)
Schedule: Full-Time

Position Overview

Alleviate Pain Solutions is seeking an experienced, organized, and dependable Office Manager to oversee the day-to-day administrative operations of our medical clinic. The Office Manager will help ensure the clinic operates efficiently while providing excellent customer service to patients and supporting providers and staff.

The ideal candidate will have strong leadership and communication skills, healthcare office experience, and the ability to manage multiple priorities in a fast-paced clinical environment.

Bilingual English/Spanish is a plus but not required.

Key Responsibilities

Oversee the daily administrative operations of the clinic.
Manage front-office staff and help coordinate daily workflow.
Assist with scheduling, patient check-in/check-out, and appointment coordination.
Ensure accurate patient information and documentation.
Monitor office procedures to ensure efficient and consistent operations.
Assist with insurance verification, authorizations, referrals, and billing-related processes as needed.
Serve as a point of contact for patients regarding administrative questions or concerns.
Address patient concerns professionally and escalate clinical matters appropriately.
Assist with employee scheduling, attendance, and day-to-day administrative needs.
Support onboarding and training of new office staff.
Monitor office supplies, equipment, and inventory.
Maintain compliance with HIPAA and applicable healthcare regulations.
Help maintain a professional, clean, organized, and welcoming clinic environment.
Work closely with providers and clinical staff to improve patient flow and overall clinic efficiency.
Prepare reports and assist management with administrative and operational tasks.
Identify opportunities to improve office processes and patient experience.
Perform other duties as assigned.

Qualifications

Previous experience as a Medical Office Manager, Clinic Manager, Practice Manager, or similar healthcare administrative role preferred.
Healthcare or medical office experience required.
Strong leadership and organizational skills.
Excellent verbal and written communication skills.
Strong customer service and patient-relations skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with electronic medical records (EMR) and office software preferred.
Knowledge of medical terminology, insurance processes, and healthcare office procedures preferred.
Ability to maintain patient confidentiality and comply with HIPAA requirements.
Bilingual English/Spanish is a plus.
Professional, dependable, and team-oriented.

Compensation & Benefits

Starting pay: $23.00 per hour, depending on experience.
Potential pay increase after 90 days, based on performance, attendance, leadership, and overall job performance.
