Project Manager – Facilities & Warehouse Development
Position Summary
The Project Manager – Facilities & Warehouse Development is responsible for planning, coordinating, and overseeing all aspects of new warehouse and office development projects from inception through completion. This role manages construction activities, permitting, inspections, vendor coordination, budget oversight, and occupancy readiness while ensuring projects are completed on schedule, within budget, and in compliance with all applicable federal, state, and local regulations.
The Project Manager serves as the primary liaison between internal stakeholders, landlords, architects, engineers, contractors, municipalities, and regulatory agencies.
Essential Duties and ResponsibilitiesProject Planning & Management
- Manage all phases of warehouse and office construction, renovations, and build-outs.
- Develop project scopes, timelines, budgets, and implementation schedules.
- Coordinate project meetings and provide regular status updates to executive leadership.
- Monitor project milestones and proactively address delays or obstacles.
- Ensure projects remain on schedule and within approved budgets.
- Prepare capital expenditure requests and cost analyses.
Permitting & Regulatory Compliance
- Coordinate and obtain all required permits for construction and occupancy.
- Manage the application process for:
- Building permits
- Electrical permits
- Mechanical permits
- Plumbing permits
- Fire permits
- Signage permits
- Coordinate inspections with local municipalities.
- Obtain the Certificate of Use (COU) and/or Certificate of Occupancy (CO) prior to operational launch.
- Ensure compliance with local zoning regulations and building codes.
- Coordinate with fire marshals and code enforcement officials.
Warehouse Development
- Manage warehouse layout planning and space utilization.
- Coordinate installation of:
- Warehouse racking systems
- Storage solutions
- Safety barriers
- Dock equipment
- Warehouse signage
- Ensure compliance with OSHA safety standards.
- Coordinate warehouse operational readiness prior to opening.
Office Build-Out & Renovation
- Coordinate office space planning and interior build-outs.
- Manage installation of:
- Offices
- Conference rooms
- Break rooms
- Furniture systems
- Flooring
- Painting
- Lighting
- Security systems
- Access control
- Coordinate IT infrastructure installation including cabling and network readiness.
Building Systems Coordination
Manage installation, testing, and commissioning of:
- HVAC systems
- Electrical systems
- Plumbing
- Fire alarm systems
- Fire suppression/sprinkler systems
- Emergency lighting
- Backup power systems
- Security cameras
- Badge access systems
- Telecommunications infrastructure
- Internet services
Vendor & Contractor Management
- Solicit bids and negotiate contracts with vendors and contractors.
- Coordinate architects, engineers, consultants, and subcontractors.
- Monitor contractor performance and ensure quality workmanship.
- Review invoices and approve payments.
- Conduct project walkthroughs and punch-list inspections.
- Ensure contractors comply with safety requirements and contractual obligations.
Facilities Coordination
- Coordinate utility activation including:
- Electric
- Water
- Sewer
- Internet
- Telephone
- Gas (if applicable)
- Coordinate janitorial services and waste management.
- Ensure facility readiness prior to occupancy.
- Oversee furniture delivery and installation.
- Coordinate office and warehouse move-in activities.
Budget Management
- Develop and manage project budgets.
- Track expenditures against approved budgets.
- Identify cost-saving opportunities.
- Prepare financial reports and project forecasts.
- Manage change orders and contract modifications.
Risk Management
- Identify project risks and implement mitigation strategies.
- Ensure compliance with OSHA, ADA, fire safety, and applicable building regulations.
- Maintain project documentation and records.
- Coordinate insurance certificates and contractor compliance documentation.
Communication
- Serve as the primary point of contact for project stakeholders.
- Present project updates to executive leadership.
- Coordinate cross-functional project teams including Facilities, IT, Operations, HR, Finance, and Security.
- Prepare executive-level project reports and dashboards.
Qualifications
Education
- Bachelor's degree in Construction Management, Engineering, Architecture, Project Management, Facilities Management, or a related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- 5–8 years of project management experience involving commercial construction, warehouse development, or facilities management.
- Experience managing office build-outs and tenant improvements.
- Experience working with landlords, municipalities, architects, and contractors.
- Knowledge of permitting processes and Certificate of Use/Certificate of Occupancy requirements.
- Experience managing multiple concurrent projects.
Knowledge, Skills & Abilities
- Strong knowledge of commercial construction practices.
- Knowledge of building codes and permitting requirements.
- Understanding of HVAC, electrical, plumbing, fire protection, and mechanical systems.
- Familiarity with OSHA safety standards.
- Excellent project planning and organizational skills.
- Strong budgeting and cost management experience.
- Ability to read construction drawings and blueprints.
- Strong vendor negotiation and contract management skills.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Proficiency with Microsoft Office Suite and project management software (e.g., Microsoft Project, Smartsheet, Procore, or similar).
Preferred Certifications
- Project Management Professional (PMP) preferred.
- OSHA 30-Hour Certification is a plus

- Ability to travel between project sites as needed.
- Ability to walk construction sites and warehouses.
- Ability to climb stairs and ladders when necessary.
- Ability to lift up to 25 pounds occasionally.

Pay: $72,827.60 - $87,706.36 per year
