Full Job Description

We are searching for a detail-oriented, hands-on Accounting Supervisor to oversee daily accounting operations throughout a single-location, retail optometry practice. This role is ideal for a strong senior accountant ready to take ownership of the close process and support financial accuracy.

The ideal candidate will have at least an AA in Accounting or strong background from years of experience. Must have experience in an accrual accounting setting. Experience with retail inventory is a plus.

Much of the job is identifying exceptions, fixing those exceptions, oversight of accounting activities, controlling financial activities, and routine reporting.

Hours are flexible, with more time needed at month-end closing, and less time during other weeks. Approximately 2 hours per week of remote work, and 8 hours per month on-location in Pasadena to help tie-up lose ends for monthly closing (optional, but preferred).

The Accounting Department consists of 4 FT Accounting Assistants using QuickBooks Enterprise for AP, AR, Inventory, Bank Account Reconciliation, Loan Payments, Inter-Company Transactions for total of 3 companies.

This is an execution-focused role — responsible for maintaining clean books as well accurate and timely reporting, while partnering with leadership and external tax professionals.

Responsibilities

Manage Month-end and Year-end close process in an accrual accounting setting.
Supervise accounting staff of 4 to 5 in the preparation and posting of journal entries.
Review journal entries and issue corrections and/or reversals when necessary.
Supervise bank account reconciliation, and balance sheet accounts
Oversee various accounting functions including Inventory, A/P, A/R.
You will be involved in ADP Payroll only to the extent that sufficient funds are transferred from bank accounts to ADP as needed.
Supervise, Track and Reconcile inventory-related accounting entries in a retail environment.
Ensure accuracy of general ledger activity
Supervise preparation of monthly financial statements (P&L, balance sheet, cash flow)
Provide variance explanations to leadership
Maintain organized financial documentation
Assist with audit preparation as needed
Ensure internal controls and documentation standards are followed
This role partners with leadership and external C.P.A.'s — it does not operate in isolation
Supervise and mentor the accounting team, fostering professional development and ensuring high-quality and timely work output
Manage general ledger accounting, account reconciliation, and journal entries to ensure accuracy and completeness
Supervise balance sheet reconciliation, bank reconciliation, and accounts receivable/payable processes, as well as coordinating with Payroll Dept.
Coordinate month-end and year-end closing activities.
Utilize Quickbooks Accounting Software and other financial management tools to streamline processes
Assist with tax-related activities when needed, in cooperation with external C.P.A.
Supervise Reconciliation of bank accounts and balance sheet accounts
Maintain fixed asset schedules

Qualifications:

4+ years of progressive accounting experience
Prefer supervisory experience.
AA degree or higher in Accounting, Finance, or related field or significant experience.
Experience in retail or fashion industry, or health care, is a plus.
Experience in corporate accounting with a strong background in financial statement preparation
Proven expertise in an accrual basis accounting setting.
Prefer experience in a multi-entity environment.
Familiarity with financial software such as Quickbooks, proficiency in bookkeeping, journal entries, account reconciliation, and general ledger management
Strong understanding of accrual accounting, debits & credits, double-entry bookkeeping.
Demonstrated leadership skills with experience mentoring or supervising accounting staff
Ability to supervise 4 to 5 accounting assistants.
Ability to review and adjust workloads of department staff as needed.
Ability to recognize incorrect journal entries and advise staff of proper corrections/reversals.
Ability to plan staff workloads in order to meet monthly closing deadlines.
Experience with Accrual Basis Accounting.
Experience with general ledger and month-end close.
Excel skills
Prefer some experience with retail inventory, including cycle counts.
Ability to work independently and manage deadlines
Strong attention to detail
