Full Job Description

Woodbury Estates, a Lifespark Skilled Nursing Community, is looking for a dedicated and passionate Staffing Coordinator to join our growing team.

Woodbury Estates is home to seniors requiring TCU (Transitional Care Unit) Care and Long-Term Care. We are in Woodbury, right next door to Woodbury High School. We have been helping seniors Age Magnificently since 1979 and are part of Senior Care Communities, a local non-profit supporting seniors.

Schedule: 9:00am-5:30pm (Flexible), M-F
Pay: $25-$28

Position Functions and Responsibilities

In this position, you will provide support to our community with their staffing needs, ensuring schedules are accurate and up to date, maintain the front desk and welcome guests, residents and employees and update and distribute resident roster each month. Responsibilities include but not limited to;

Coordinate, monitor, and adjust all schedules for the nursing department to include daily, weekly, holiday, vacation, make-up, rotation schedules, et al.
Coordinate, monitor, and adjust time sheets including coding for proper reimbursement.
Coordinate and monitor the coding of labor hours.
Monitor, allocate, and otherwise maintain bonus incentive pay.
Maintain current phone lists.
Prepare staffing files.
Record absence and late reports.
Prepare, distribute, and process requests for schedule changes, leaves, PTO, etc.
Prepare daily/weekly management reports as needed.
Provide information to DNS to assist in preparation of various budget/financial reports.
Orient new personnel to staffing/scheduling policies and procedures.
Update and prepare staffing orientation packets.
Assist staff with concerns, conflicts, and questions regarding schedules and policies.
Answer questions concerning time records/time clock and resolve related issues.
Answer nursing department personal phone calls, screen for importance and forward messages, as appropriate.

Maintain a high degree of confidentiality.
Must be adaptable, flexible to changes, and able to prioritize and organize work efficiently to accomplish workload within time allotted.
Maintains positive relationships with key stakeholders such as tenants, their families, staff, and the community.
Maintain a positive attitude in relation to customer service program.
Complies with established safety rules and regulations.
Abides by the facility’s policies, procedures and practices.
Participates in and supports quality efforts throughout the facility.
Attends meetings and mandatory in-services.
Knowledge and adherence to safety/disaster preparedness plan.
All other duties as needed.

Qualifications

Experience and Education

High school graduate or equivalent.
Must have experience in scheduling and coordination tasks.
Must have a minimum of two years of experience in an office environment.

Knowledge, Skills and Abilities

Must have the ability to read, write, and follow oral and written directions at a level necessary to accomplish the job.
Exceptional telephone and communication skills and the desire to work closely with senior adults is essential.
Must be able to relate professionally, positively, and cooperatively with residents, resident’s families and employees.
Must have advanced knowledge of computer systems, including e-mail use.

Must be capable to maintaining regular attendance.
Must be compassionate toward the elderly, work with tact and ethical awareness, and ensure personal resident information is kept confidential.
Clear understanding that all injuries/accidents must be reported to a supervisor immediately.
Must meet all local health regulations and pass post-employment physical exam if required. This requirement also includes drug screening, criminal background investigation, and reference inquiry.
Must be capable of performing the Essential Job Functions of this job, with or without reasonable accommodation.
Verification of COVID vaccine status or receiving an approved exemption.

Walking/mobility, reaching, bending, lifting or repositioning residents, grasping, pushing medication carts, pulling, fine hand coordination, ability to hear and respond to pages, ability to understand and follow written and oral instructions and directions, ability to read and write and do mathematical percentile, ability to communicate with the residents and others, ability to distinguish smells, tastes, and temperatures, and ability to remain calm in emergency situations and when handling multiple tasks.

Preferred Qualifications:

High school graduate or equivalent.
Experience with general office duties and staffing.
Prior experience in health care setting is preferred.
In accordance with CMS Vaccine Mandate, candidate must provide proof of Covid-19 Vaccine or submit documentation for exemption
