Full Job Description

Event Day Assistant

Job Description*:

We are searching for a forward-thinking, thoughtful, and hardworking person to join our efficient, proactive, fun and amazing team!

You will be assisting our Event Planner and Owners. Events are usually on Friday, Saturday or Sunday. Strong customer service experience required to work with multiple vendors, clients, and guests. Must have a positive and diplomatic personality to navigate relationships and various unique scenarios during the event.

Primarily work weddings (ceremony/reception/small and corporate events) included by not limited to:

Last-minute setup of décor, organizing bridal party, taking care of the client's needs as well as vendors, family and friends. Making sure timelines and all key milestones are followed and executed during the day.

Help with setting up before, during and clean-up after the event (ie: returning rental items back to our on-site rental room, taking off linens off tables/bagging them, helping pack up the client/couple’s décor items, etc.). Setting up and cleaning up dessert and late-night snack tables.

You will be working along with the Owners to provide a smooth and well-organized event.

Provide exceptional guest services and address any issues or concerns promptly to the Owners who will also be working event with you.

Help oversee last minute setup items (majority of the set-up is done before the event).

Assist vendors if needed.

Minimum 2 years’ experience working at events.

Experience in event coordination and day-of event operations from start to close.

Strong organizational and follow-up skills are a must with the ability to multitask.

Must be a people person – friendly, kind, energetic and ready to help.

Excellent customer service skills with a focus on hospitality and organization.

Must be able to do physical work (lift 30 lbs. as needed) and be on feet for long periods during events and working in a fast-paced environment.

Events Management: 1 year (required) & Customer Service: 2 years (required).

Ability to personally drive/commute by car to East Aurora, NY (required).

Work location: In person - East Aurora, NY (required).

Available Weekends Seasonal (May – October 2026).

We offer events on Friday, Saturday, and Sunday (only 1-2 events on weekends) depending on size and type of the booked event.

Event hours worked: Approximately 10-12 hrs./afternoon-evening (depending on type of event) with a minimum of 9 hrs. Depending on event, you may arrive around 11am and leave by 10pm. (Start time depends on when event starts and ends).

$20-$21 per hour depending on experience.

Dinner (from caterers) included on evening worked.
