Full Job Description

Position Overview

Midwest Recyclers is seeking a dependable, outgoing, and organized individual to join our team as a full-time Scale House & Office Coordinator.

This is a customer-facing position that combines office administration, truck weighing, dispatch support, invoicing, and daily communication with customers, drivers, and employees. The ideal candidate will be comfortable working in a busy environment, handling multiple responsibilities, and adjusting priorities throughout the day.

We are a family-owned recycling company looking for someone who takes initiative, communicates well, and wants to become a dependable, long-term member of our team.

Primary Responsibilities

Greet and assist customers in a friendly and professional manner
Weigh incoming and outgoing trucks using the company scale and receipt system
Enter accurate customer, material, weight, and transaction information
Prepare scale tickets, receipts, invoices, and other paperwork
Answer incoming telephone calls and direct questions appropriately
Assist with dispatching trucks and communicating assignments to drivers
Coordinate with drivers, equipment operators, management, and other office employees as needed
Perform general data entry and maintain organized business records
Process customer and vendor paperwork accurately
Communicate company procedures, pricing information, and policies clearly and confidently
Help resolve customer questions and routine transaction issues
Maintain a clean and organized office and customer service area
Assist with additional office and operational duties as needed

Qualifications and Skills

Strong customer service and communication skills
Friendly, outgoing, and comfortable working with the public
Excellent organization and time-management skills
Ability to multitask and manage changing priorities
Strong attention to detail and accuracy
Ability to remain calm and think on your feet
Confidence and assertiveness when communicating with customers and drivers
Good problem-solving skills
Willingness to take initiative and complete tasks without constant direction
Dependable, flexible, and team-oriented
Basic proficiency with computers, email, Microsoft Office, and spreadsheets
Ability and willingness to learn the company’s scale, receipt, invoicing, and dispatch systems
Previous customer service, office, dispatch, scale-house, bookkeeping, or data-entry experience is helpful but not required
High school diploma or equivalent preferred
Valid driver’s license required

Schedule

Full-time, daytime position
Approximately 10-hour shifts
Overtime opportunities may be available
