Office Administrator - Psychiatric Services (Part-Time)

This position is ideal for someone who enjoys helping others, thrives in a fast-paced environment, and is passionate about creating a welcoming, professional experience for clients seeking behavioral health services.

As the first point of contact for many clients, you will help guide individuals through the scheduling, intake, insurance, billing, and administrative processes that support their care journey.

Flexible Work Schedule

We understand the importance of work-life balance. This position offers flexible scheduling within our operating hours to accommodate employee availability and department needs.

Part-time position: 20-28 hours per week
Office hours are Monday through Friday between 8:00 AM and 9:00 PM
Flexible schedules may include:
School-day hours
Early morning shifts
Afternoon/evening shifts
Combination schedules based on availability and department needs

What You'll Do

Welcome clients and create a positive experience from first contact through ongoing care
Answer phones, electronic messages, and inquiries regarding psychiatric services
Schedule appointments, including intake appointments and follow-up visits
Create and maintain client accounts within the Electronic Health Record (EHR)
Verify insurance benefits and explain coverage information to clients
Assist clients with telehealth setup and Patient Portal access
Coordinate completion of intake paperwork and required documentation
Collect copays, fees, and outstanding balances
Review billing information and assist with billing accuracy
Support provider scheduling and department operations
Maintain accurate and confidential client records
Communicate with referral sources and community partners
Support site safety procedures and HIPAA compliance
Participate in team meetings, training, and professional development activities

QualificationsvRequired

High school diploma or equivalent
Strong customer service and phone communication skills
Experience working with computer systems and data entry
Experience using Microsoft Office (Outlook, Word, Excel)
Ability to manage multiple priorities in a fast-paced environment
Strong organizational, communication, and interpersonal skills
Ability to maintain strict confidentiality

Preferred

Associate degree or higher in Behavioral Health, Healthcare Administration, Business Administration, or related field
Experience in a behavioral health, medical office, or outpatient healthcare setting
Experience with Electronic Health Records (EHR)
Knowledge of insurance verification and benefits
Medical billing and coding training or certification
Knowledge of CPT coding and medical terminology
Experience coordinating provider schedules and client appointments
