Staff Scheduler - Full Time Position Available
Position Overview
Responsible for the creation and maintenance of daily, weekly and monthly staffing schedules for the nursing department in accordance with laws, regulations and facility guidelines.
Basic Qualifications
Education and Certification:
High school diploma or equivalent.
Certified Nursing Assistant in good standing in current state of practice preferred.
Skills & Requirements:
Must possess the ability to read, write and speak the English language; must have strong communication skills; must be patient, friendly, courteous and respectful to residents in any situation, including difficult ones; must be able to make independent decisions when necessary; must have the ability to follow staffing/scheduling guidelines as outlined by the facility and other regulations governing staffing in a long-term care facility; must be able to move frequently throughout the workday; must be able to lift 20 lbs floor to waist; lift 10 lbs waist to shoulder; lift and carry 20 lbs; and push/pull 20 lbs.
Experience:
Strong computer skills and prior experience in staffing/scheduling is required; long-term care experience is preferred.
Working Conditions
Primarily works in an office setting as well as throughout the nursing department and facility; bends, lifts, sits, stands and moves frequently throughout the shift; deals with frequent interruptions and possibly upset residents and family members; works regularly scheduled shifts in addition to working weekends, holidays and other hours based on resident needs; primary responsibility is service to the residents but also deals with visitors, government personnel, etc.; participates in required continuing education programs; subject to odors, falls, burns and exposure to infectious diseases, waste, etc., including AIDS and Hepatitis B viruses.

Essential Job Duties
1. Creates and maintains daily, weekly and monthly staffing schedules for the nursing department in accordance with local and state staffing guidelines and under the supervision of the Director of Nursing.
2. Obtains approval from the DON or ADON for utilization of overtime or agency staff to fill needs of the nursing department.
3. Ensure staffing schedules are posted timely in areas designated by the nursing department.
4. Receives requests for shift changes or other scheduling changes and processes timely.
5. Maintains sign-in sheets for nursing assistants daily.
6. Communicates and distributes revisions to the original schedule as needed.
7. Provides daily assignments to all nursing staff in advance.
8. Consistently maintains a two-week schedule for all nursing staff.
9. Makes recommendations for the most appropriate schedule options to the ADON or DON.
10. Alerts nursing supervisors of call-ins and assists with securing the appropriate staffing needed.
11. Keeps attendance and tardiness logs for all nursing staff and reports excessive absenteeism or tardiness to ADON or DON.
12. Tracks hours daily for skilled, intermediate care and agency usage (if used) and reports to ADON or DON.
13. Receives, reviews and forwards scheduling grievances from residents, families and employees to the ADON or DON for resolution.
Other Job Duties
14. Assists with the correction of missed punches.
15. Assists nursing supervisors in reviewing and approving timesheets at the end of each payroll period.
16. Assists payroll with timesheet edits for bonuses (if applicable), etc., as needed.
17. Monitors time clock punches and notifies DON of developing trends.
18. Creates and updates facility contact roster for nursing team, including home, cell and pager numbers.
19. Assists the ADON with maintenance of current licenses and certifications for nursing staff.
20. Attends required in-service or continued education programs as requested.
21. Promotes continuity of care through partnering with other departments (i.e. Rehab).
22. Participates in state or federal survey processes as needed in conjunction with nursing administration.
