Full Job Description

The Receiving Coordinator manages the daily flow of inbound freight at our high-volume El Paso distribution center, with a heavy emphasis in Raw Material arriving on international and domestic shipments, to be cross-docked and exported to Mexican Manufacturing Plants. This role is the first checkpoint in our supply chain, responsible for verifying that every inbound load is accurate, properly documented, compliant with customs requirements, and ready for putaway. The ideal candidate is organized and methodical, understands the documentation rigor that imported freight demands, and communicates fluently with carriers, brokers, and suppliers on both sides of the border.

Inbound Freight & Dock Coordination

Schedule and manage inbound dock appointments, prioritizing time-sensitive cross-border loads to balance dock capacity and labor.
Coordinate with truckload (TL), less-than-truckload (LTL), and drayage carriers to confirm arrival windows and crossing status.
Verify inbound shipments against purchase orders (POs) and advance shipping notices (ASNs) for accurate item, quantity, and lot data.
Direct dock door assignments and unloading sequence to maximize throughput and minimize detention.
Coordinate with warehouse teams to ensure timely putaway and accurate inventory placement.
Daily communication with Mexican Plants to coordinate critical Raw Material arrival.

Cross-Border / Customs Compliance

Verify import documentation — commercial invoices, certificates of origin, packing lists, and USMCA documentation — for accuracy upon receipt.
Coordinate with U.S. and MX customs brokers to confirm entry clearance before scheduling delivery to the dock.
Reconcile received goods against pedimentos, entry documents, and broker records to identify and resolve discrepancies.
Support documentation flow for in-bond, maquiladora, and IMMEX-related inbound freight.
Verify container/trailer seals against shipping documents and perform C-TPAT inbound inspections, escalating any integrity concerns.
Maintain compliance with CBP requirements and support audit readiness for all imported freight.

Inspection & Discrepancy Management

Inspect inbound freight for damage, shortages, overages, and quality issues at the point of receipt.
Document and report over, short, and damaged (OS&D) discrepancies and initiate claims with carriers or suppliers.
Quarantine non-conforming or damaged product and coordinate disposition with quality and inventory teams.
Process returns and RMAs in accordance with company procedures.

Documentation & Systems

Enter and confirm receipts accurately in the warehouse management system (WMS) and ERP, ensuring real-time inventory accuracy.
Maintain organized, audit-ready records of receiving and customs documents.
Generate receiving reports and KPIs (on-time receipt %, dock-to-stock time, discrepancy rate) for management review.

Cross-Functional Collaboration

Partner with shipping, inventory, and warehouse teams to align receiving priorities with operational needs.
Serve as a primary point of contact between the distribution center, carriers, brokers, and suppliers.
Communicate with internal stakeholders and counterparts in Mexico (in English and Spanish) to resolve issues quickly.

Continuous Improvement & Safety

Identify bottlenecks in the receiving and clearance process and recommend improvements.
Follow all safety, security, and dock procedures; help maintain a clean, organized, and compliant receiving area.

Required Qualifications

High school diploma or GED required; Associate's or Bachelor's degree in Logistics, Supply Chain, Business, or a related field preferred.
2+ years of experience in receiving, logistics, or distribution coordination, ideally with cross-border / international freight.
Bilingual (English/Spanish) — able to read, write, and speak both fluently for daily communication with carriers, brokers, and suppliers in Mexico.
Working knowledge of import documentation: commercial invoices, POs, ASNs, certificates of origin, and USMCA/origin requirements.
Familiarity with customs processes, customs brokers, and CBP requirements.
Proficiency with WMS/ERP platforms and Microsoft Office (especially Excel).
Strong attention to detail and accuracy under deadline pressure.
Excellent organizational, communication, and problem-solving skills.

Preferred Qualifications

Direct experience with maquiladora, IMMEX, or in-bond shipment programs.
Knowledge of Incoterms and international trade compliance.
Familiarity with C-TPAT inbound inspection standards and seal verification procedures.
Experience working with El Paso / Juárez border crossings and regional drayage carriers.
Forklift certification or willingness to obtain.

Physical Requirements & Work Environment

Work is performed in an office and active warehouse/dock environment.
Must be able to move about the facility, stand for extended periods, and occasionally lift up to 50 lbs.
May operate or work near material-handling equipment (forklifts, pallet jacks).
Exposure to varying warehouse temperatures and dock conditions.

Reliable attendance with flexibility around early-morning inbound arrivals and crossing schedules
