Full Job Description

The MRO Buyer is responsible for procuring maintenance, repair, and operations (MRO) materials, supplies, and services at the most favorable terms for the organization. This role qualifies vendors, evaluates bids, negotiates pricing and service terms, and ensures on-time delivery to support uninterrupted operations. The MRO Buyer monitors vendor performance and quality, maintains accurate vendor and purchasing records, and prepares reports and presentations to support procurement decisions and leadership updates.

Key Responsibilities

MRO Procurement & Purchasing

Purchase MRO materials, supplies, and services in accordance with internal policies and operational needs.
Create and manage purchase orders based on requirements, lead times, and approved budgets.
Expedite critical items and coordinate with internal stakeholders to prevent downtime or operational delays.
Track purchases and resolve discrepancies related to delivery, quantity, quality, or invoicing.

Vendor Qualification & Negotiation

Qualify vendors and maintain an approved vendor list for MRO categories.
Evaluate bids and proposals; negotiate pricing, payment terms, lead times, and service agreements.
Support sourcing decisions by comparing total cost, performance, and reliability.
Monitor vendor quality and performance and initiate corrective actions when required.

Data Management & Reporting

Maintain accurate purchasing records and a current database of vendor information (contacts, pricing, lead times, performance history).
Prepare reports, dashboards, and presentations related to spend, supplier performance, open orders, and procurement KPIs.
Support leadership updates and audit requests with clear documentation and reporting.

Cross-Functional Collaboration

Partner with Maintenance, Facilities, Engineering, Warehouse, Finance, and Operations teams to confirm requirements and priorities.
Support continuous improvement initiatives to streamline procurement processes, reduce cost, and improve service levels.

Education / Experience

Associate or Bachelor’s degree in Supply Chain, Business, Engineering, or related field preferred.
2–3 years of experience in MRO procurement, materials procurement, or MRP buying required.
Experience supporting manufacturing or industrial operations preferred.

Knowledge / Skills / Abilities

Proficiency in Microsoft Office (Excel, Word, PowerPoint).
Power BI and/or Python highly desirable for reporting and analysis.
Strong negotiation, organization, and vendor management skills.
Strong attention to detail and ability to manage multiple priorities.
Clear communication skills and ability to work cross-functionally.
Ability to analyze bids, pricing, and service terms to support decision-making.
ERP or purchasing system experience preferred.

Work Environment

Office-based role supporting manufacturing and warehouse operations.
May require occasional visits to maintenance, warehouse, or production areas.

Physical Demands

Ability to sit and work at a computer for extended periods.
Ability to walk in warehouse or facility areas as needed.
