Job Summary

We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of our day spa. In this vital role, you will manage front desk operations, provide exceptional customer support, and ensure smooth administrative workflows. Your positive attitude and technical proficiency will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression.
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette.
Handle data entry tasks accurately within various software platforms including Clientrak, Word, Excel
Maintain organized filing systems, including digital documents and physical records such as client files and invoices.
Support office management activities such as calendar management, appointment scheduling, and coordinating meetings.
Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times.
Managing social media posts and responding to inquiries via email and messaging systems.

Requirements

Experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy with proficiency in productivity software such as Microsoft Office, Google Workspace, and data entry tools.
Demonstrated experience with multi-line phone systems and phone etiquette.
Bilingual abilities are highly desirable to serve diverse clients and team members effectively.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Previous experience as a receptionist or front desk coordinator in medical or dental settings is a plus.
Technical proficiency in office equipment, including printers, scanners, and fax machines.
Exceptional customer service skills with a friendly demeanor and professional communication style.
Ability to manage calendar appointments accurately and handle confidential information discreetly.
