Overview

We are seeking a dynamic and organized Front Desk Clerk to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will demonstrate excellent communication skills, technical proficiency, and a proactive attitude to support daily office functions and client interactions. Join us in creating a positive first impression and maintaining efficient office management!

Duties

Greet visitors, clients, and staff with professionalism and enthusiasm, ensuring a warm and welcoming environment
Answer multi-line phone systems promptly, directing calls accurately and courteously
Manage appointment scheduling, calendar coordination, and meeting arrangements using productivity software and calendar management tools
Perform data entry tasks with precision, maintaining accurate records in spreadsheets and office databases
Handle clerical responsibilities such as filing, proofreading documents, and managing correspondence
Utilize office management software including Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative tasks
Support bookkeeping activities by tracking expenses and processing invoices as needed
Maintain organized filing systems both digitally and physically to ensure quick retrieval of information
Maintain a clean lobby area with light chores such as; sweeping, mopping and wiping down counters.

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Exceptional customer service abilities with a friendly and professional demeanor
Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with productivity software
Strong computer literacy including data entry, file management, and technical proficiency in office equipment
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual skills are highly desirable to assist diverse client needs effectively
Experience with multi-line phone systems, phone etiquette, and client communication strategies
Knowledge of QuickBooks or bookkeeping software is a plus; experience as a dental or medical receptionist is advantageous
Ability to manage time effectively while handling multiple priorities simultaneously
