Full Job Description

Overview:

We are seeking a detail-oriented and reliable Bookkeeper to manage day-to-day accounting operations, maintain accurate financial records, process vendor payments, reconcile accounts, support payroll accounting, and assist with various administrative duties. The ideal candidate will be highly organized, and experienced with sage 50 accounting software and bank reconciliations. Proficient in Excel is preferred.

Key Responsibilities:
Accounts Payable & Vendor Management

Review, enter, and maintain vendor invoices in the accounting system.
Organize and manage invoices for payment processing.
Prepare and issue weekly vendor payments.
Verify invoice accuracy and resolve discrepancies before payment.
Monitor outstanding vendor obligations and payment schedules.

Payroll Accounting

Enter weekly payroll information into the accounting system.
Record payroll wages, deductions, taxes, insurance, and related liabilities through journal entries.
Maintain accurate payroll-related financial records.
Assist with reconciliation of payroll transactions.

Banking & Cash Management

Monitor online banking activity and record transactions accurately.
Match bank receipts and deposit details to company records.
Track cleared checks and maintain check issuance records.
Record customer ACH payments and deposits.
Schedule and process electronic payments as required.
Record interest income and other banking transactions.

Account Reconciliations

Perform monthly bank reconciliations.
Reconcile payment platforms including PayPal, Authorize.Net, and other merchant processing accounts.
Investigate and resolve account discrepancies.
Ensure all banking activity is properly reflected in the accounting records.

General Accounting

Prepare and post journal entries.
Maintain accurate general ledger records.
Assist with month-end and year-end accounting activities.
Support CPA and tax preparation processes by providing documentation and reports.
Maintain organized financial records and supporting documentation.

Customer Billing & Administrative Support

Generate and distribute customer invoices.
Maintain customer files and accounting records.
Process and record payments received through various channels.
File packing slips and supporting documents.
Provide accounting and administrative support to team members as needed.

Compliance & Reporting

Assist with sales tax payment preparation and filing.
Support quarterly estimated tax payment processes.
Prepare annual workers’ compensation reporting documentation.
Ensure compliance with company accounting procedures and regulatory requirements.

Required Qualifications

3+ years of bookkeeping or general accounting experience.
Experience with accounting software (Sage experience strongly preferred).
Knowledge of accounts payable, payroll accounting, bank reconciliations, and journal entries.
Strong attention to detail and accuracy.
Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.
Ability to manage multiple priorities and meet deadlines.
Strong organizational and problem-solving skills.

Preferred Qualifications

Experience in a small business accounting environment.
Full-cycle bookkeeping experience.
Familiarity with ACH payments, merchant processing accounts, and online banking platforms.
Experience working directly with CPAs and tax reporting requirements.
