Receptionist & Customer Service Representative (Part-Time)

Cloverland Distributing, LLC is seeking an enthusiastic, dependable, and customer-focused Receptionist & Customer Service Representative to join our team. As a family-owned business serving the Upper Peninsula and Northern Wisconsin for over 90 years, Cloverland Distributing is a trusted regional wholesale supplier of janitorial supplies, paper products, cleaning chemicals, safety products, and foodservice supplies. Position Overview

This is a part-time, Monday through Friday, in-office position with flexible daytime hours based on business needs. As the first point of contact for many of our customers, you will play a key role in creating a positive customer experience while supporting daily office operations.

A typical day may include answering customer phone calls, emails, texts, and faxes; entering customer orders; preparing invoices and sales documentation; assisting customers with product questions; communicating with our outside sales representatives; maintaining accurate customer records; and providing general administrative support throughout the office.

Product knowledge, sales training, and systems training is provided.

Primary Responsibilities

Deliver exceptional customer service by assisting customers through phone, email, text messaging, and other communication channels.
Receive customer orders and accurately create sales orders, invoices, and related documentation.
Respond promptly to customer inquiries, pricing requests, product questions, and documentation requests.
Build positive customer relationships while identifying opportunities to recommend additional products and services.
Communicate with outside sales representatives regarding customer needs, account questions, and order updates.
Operate a multi-line phone system while maintaining professional phone etiquette.
Welcome visitors, assist with front desk responsibilities, and direct customers to the appropriate department.
Maintain accurate customer records through data entry and office software.
Assist with filing, proofreading, organizing office documents, and maintaining office supplies.
Support light inventory-related tasks and perform other administrative duties as assigned.
Utilize Microsoft Office, Google Workspace, QuickBooks, CRM software, and other productivity tools to support daily operations.

Qualifications

The ideal candidate is organized, dependable, and enjoys working with both customers and coworkers in a team-oriented environment. Successful applicants will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining a positive attitude.

Required Qualifications

Must be at least 18 years of age.
Valid Michigan driver's license.
Reliable transportation.
Excellent listening, verbal, and written communication skills.
Professional phone and in-person customer service skills.
Ability to sit or stand for extended periods.
Ability to occasionally lift, move, push, or carry up to 50 pounds.
Mid-level computer proficiency and willingness to learn new software.
Positive attitude with a strong commitment to teamwork and customer satisfaction.

Preferred Qualifications

Previous experience in customer service, receptionist, office administration, clerical support, healthcare, hospitality, restaurant, or retail environments is highly preferred.

Experience with any of the following is a plus:

Microsoft Office (Word, Excel, Outlook)
Google Workspace
QuickBooks
CRM software
AI productivity platforms
Canva or other creative software
Multi-line phone systems
Data entry and filing
Basic math and cash handling
