About Us

Hydro2Geotech LLC is a growing professional services firm based in Seattle. We provide geotechnical and environmental monitoring services on public infrastructure and construction projects across multiple states.

The Role

We're looking for a reliable, organized, and detail-oriented Office Coordinator / Bookkeeper to keep our office running and our books in order. This is a dual-role position: you'll manage the company's day-to-day bookkeeping in QuickBooks Online while also serving as the central point of coordination for our office and field teams.

You'll be the person who makes sure invoices go out, bills get paid, supplies are stocked, shipments are handled, and our field engineers have what they need before heading to job sites. This is a support role — not a management position — ideal for someone who takes pride in keeping things organized and running smoothly behind the scenes.

What You'll Do

Bookkeeping & Accounting

- Manage day-to-day bookkeeping in QuickBooks Online (QBO): invoicing, bill pay, bank reconciliation, and expense categorization.

- Process accounts receivable and accounts payable; track balances and follow up as needed.

- Assist with payroll processing, tax filings, and coordination with our external CPA.

- Generate monthly financial reports and flag discrepancies.

Office & Field Coordination

- Coordinate travel and logistics for field staff heading to project sites.

- Track inventory, order supplies, and ensure project materials are stocked and shipped on time.

- Handle shipping and receiving (FedEx, UPS) and run local errands as needed.

- Organize and maintain office spaces, filing systems, and records.

- Serve as the front desk point of contact for calls, mail, and visitors.

- Assist with onboarding paperwork, document management, and general administrative tasks.

What We're Looking For

Required:

- Proficiency in QuickBooks Online (QBO) — this is a must.

- Bachelor's degree in Accounting, Business Administration, or related field (or equivalent experience).

- 1+ years of bookkeeping, accounting, or office coordination experience.

- Strong skills in Microsoft Office and Google Workspace.

- Highly organized, detail-oriented, and able to manage multiple priorities independently.

- Comfortable with hands-on work — this role includes shipping, supply runs, and keeping the office in order.

- Reliable transportation for occasional local errands.

- Trustworthy and discreet with confidential information.

Nice to Have:

- Familiarity with prevailing wage or certified payroll requirements.

- Experience with Gusto or similar payroll platforms.

- QuickBooks ProAdvisor certification.

Compensation & Benefits

- $45,000–$58,000/year (full-time) or $22–$30/hour (part-time), depending on experience.

- Full-time or part-time options available.

- Mileage reimbursement for work-related errands.
