Full Job Description

Position Overview

Our client is seeking a highly organized, detail-oriented Operations Coordinator to oversee the day-to-day administrative and financial operations of a growing real estate office. This position is ideal for an individual who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in keeping operations running efficiently.

The ideal candidate will have strong bookkeeping experience and advanced QuickBooks knowledge, exceptional organizational skills, and the ability to manage multiple priorities while maintaining a high level of professionalism.

Responsibilities

Manage all day-to-day bookkeeping functions using QuickBooks.
Maintain accurate financial records, reconcile accounts, and assist with financial reporting.
Process accounts payable and accounts receivable.
Perform general office management and administrative duties.
Coordinate real estate transactions from contract through closing.
Assist with transaction coordination, deadlines, and required documentation.
Coordinate utility transfers and utility setup for buyers and sellers.
Process incoming and outgoing mail and maintain office records.
Schedule appointments, meetings, and manage executive calendars.
Serve as a primary point of contact for vendors, clients, and business partners.
Support general office operations and ensure efficient workflow.
Assist executives and team members with administrative projects and daily tasks.
Maintain confidential client and company information.
Help improve office procedures and operational efficiency.

QualificationsRequired

Bookkeeping experience is required.
Advanced working knowledge of QuickBooks is required.
Previous office administration or office management experience.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to multitask and prioritize competing deadlines.
High attention to detail and accuracy.
Strong computer proficiency, including Microsoft Office and general business software.
Comfortable learning new technology and software platforms.
Professional demeanor with exceptional customer service skills.
Ability to work independently while contributing to a collaborative team environment.

Preferred

Previous experience in the real estate industry.
Experience as a Transaction Coordinator or Real Estate Administrative Assistant.
Experience working with title companies or real estate closings.
Accounting degree or related education.
CPA designation is not required but is preferred.
