Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. Upward growth potential if desired.

We provide geothermal heating and cooling systems and Solar PV and battery where desired. This role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to support our team and serve our clients effectively. This paid position offers an exciting opportunity to participate to the overall success of our organization.

Responsibilities

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records and prepare reports for management review
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls professionally
Support office management by organizing files, maintaining supplies, and overseeing general clerical functions
Assist with data entry, document proofreading, and updating spreadsheets to ensure data accuracy and integrity
Coordinate calendar management and schedule appointments for staff or clients as needed
Provide excellent customer service by responding promptly to client inquiries via phone or email and maintaining positive client communication

Experience

Proven experience in office administration or clerical roles with a strong emphasis on bookkeeping or accounting tasks
Proficiency in QuickBooks accounting software is required
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and productivity software
Excellent organizational skills with the ability to manage multiple tasks efficiently
Demonstrated ability to maintain confidentiality and handle sensitive financial information responsibly
