Overview

Position Overview

The Accounts Payable & Receivable Manager oversees all financial transactions related to vendor payments, customer billings, project invoicing, and account reconciliation. This role ensures accuracy, timeliness, and compliance across all AP/AR functions while supporting project managers and leadership with clear, reliable financial reporting. A construction background is strongly preferred due to the industry’s unique billing structures, pay applications, lien waivers, and vendor management requirements.

Key Responsibilities

Manage the full cycle of accounts payable including invoice processing, coding, approvals, payment runs, and vendor communication.
Oversee accounts receivable including customer invoicing, progress billing, AIA pay applications, collections, and payment posting.
Maintain accurate job cost records and support project managers with billing schedules, change orders, and contract compliance.
Reconcile vendor statements, customer accounts, credit card transactions, and monthly financial activity.
Ensure proper documentation for construction-specific requirements such as lien waivers, certified payroll attachments, subcontractor compliance, and insurance tracking.
Monitor aging reports and proactively address overdue balances on both AP and AR sides.
Coordinate with internal teams to resolve discrepancies, missing documentation, or project billing issues.
Support month-end and year-end closing processes, including accruals, reporting, and audit preparation.
Maintain organized digital and physical records aligned with company standards and construction documentation practices.
Identify process improvements to increase efficiency, accuracy, and financial transparency.

Preferred Qualifications

5+ years of experience in accounts payable, accounts receivable, or general accounting.
Construction industry experience strongly preferred, including familiarity with AIA billing, job costing, and vendor compliance.
Proficiency in QuickBooks Desktop, Microsoft Office, and construction management software.
Strong understanding of GAAP principles and financial controls.
Excellent attention to detail, organizational skills, and ability to manage multiple deadlines.
Professional communication skills with the ability to work effectively with vendors, customers, and internal teams.
Ability to analyze financial data and provide clear, actionable insights.
