We are seeking a highly organized and detail-oriented Office Administrator & Accounting Coordinator to oversee the daily administrative functions of our office while supporting the company's accounting and finance operations. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and takes pride in keeping an organization running smoothly.
The successful candidate will be responsible for office administration, customer and vendor communication, and core accounting functions including Accounts Receivable, Accounts Payable, reconciliations, and financial recordkeeping.

Manage daily office operations and administrative activities

Answer phones and direct customer inquiries professionally

Greet visitors and coordinate meetings

Maintain office supplies and equipment

Process incoming and outgoing mail and packages

Maintain electronic and paper filing systems

Assist with HR administration, onboarding, and employee documentation

Coordinate travel arrangements and company events as needed

Support management with special projects and reporting

Process Accounts Receivable, including invoicing, collections, and cash application

Process Accounts Payable, including vendor invoices, payment preparation, and statement reconciliation

Reconcile bank and credit card accounts

Assist with month-end closing activities

Prepare financial reports and spreadsheets
-
Maintain accurate accounting records and supporting documentation

Assist with budgeting and cash flow tracking

Support external accountants during month-end and year-end processes

Ensure compliance with company policies and accounting procedures

Communicate with customers regarding invoices and payment status

Work with vendors to resolve billing discrepancies

Maintain accurate customer and vendor records

Support internal departments with administrative and financial requests
Required:

2+ years of office administration experience

2+ years of accounting or bookkeeping experience

Strong understanding of Accounts Receivable and Accounts Payable

Proficiency with Microsoft Office, particularly Excel

Excellent organizational and time management skills

Strong written and verbal communication skills

High attention to detail and accuracy

Ability to prioritize multiple responsibilities independently
Preferred:

Experience with ERP/accounting software (Acumatica experience is a plus)
