Full Job Description

We are seeking a highly organized, detail-oriented Office Manager to oversee the daily administrative and accounting functions of our business. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and can confidently manage multiple priorities while keeping the office running smoothly.

The right candidate will be a self-starter with strong accounting, organizational, and communication skills who can work independently while supporting management and field operations.

Responsibilities

Manage all accounts payable and accounts receivable
Generate customer invoices and maintain accurate records using QuickBooks
Process vendor invoices, payments, and customer collections
Reconcile accounts and assist with month-end financial reporting
Maintain spreadsheets and reporting using Microsoft Excel
Track maintenance schedules for company vehicles, equipment, tractor trailers, and cranes
Monitor vehicle registrations, inspections, permits, and compliance deadlines
Coordinate with mechanics, vendors, and service providers to track maintenance and repairs
Organize office records, contracts, and project documentation
Answer phones, communicate professionally with customers, vendors, and employees
Assist management with scheduling, purchasing, and administrative projects
Identify problems proactively and help develop efficient office procedures

QualificationsRequired

3+ years of office management, bookkeeping, or construction administration experience
Advanced Microsoft Excel skills, including formulas, sorting/filtering, and spreadsheet management
Strong QuickBooks proficiency
Experience with accounts payable and accounts receivable
Excellent written and verbal communication skills
Exceptional organizational and time-management abilities
Ability to prioritize multiple deadlines in a fast-paced environment
Strong attention to detail and accuracy
Professional, dependable, and able to work independently

Full-time or Part-time available

Compensation & Benefits

We are open to hiring either a full-time or part-time employee for this position and offer two compensation options:

Full-Time Position $26-$34/hr (plus benefits)

Competitive hourly wage based on experience
Benefits package (including paid time off and other company benefits)
Stable full-time schedule with opportunities for long-term growth

Part-Time Position $35-$46/hr (no benefits)

Higher hourly pay in lieu of company benefits
Flexible schedule
Ideal for experienced professionals seeking part-time employment

Compensation will be based on experience, qualifications, and whether the position is filled on a full-time or part-time basis.

Pay: $26.00 - $46.00 per hour
