Why this role matters

Great youth programs should feel simple to families and coaches—even when the work behind them is not. The Program Coordinator creates that sense of readiness. You will connect schedules, people, equipment, rosters, sites, and systems so today’s programs run smoothly and the next two weeks are already taking shape.

You will work closely with the Program Director and Coach Manager, spot gaps before they become disruptions, and keep the details moving so the broader team can focus on coaching quality, curriculum, family experience, and growth.

What success looks like

Programs are staffed, rostered, equipped, and clearly communicated—ideally two weeks before delivery.
Coaches know where to be, what to bring, and what success looks like before they arrive.
Attendance, payroll inputs, certifications, and operational records are accurate and on time.
Risks are noticed early, assigned to the right owner, and followed through to resolution.
Families and partners experience dependable, consistent delivery across locations.

What you’ll own

Program readiness

Administer and maintain program and coach schedules, including assignments, coverage, locations, times, and required credentials.
Keep rosters, attendance lists, site information, ride-room calendars, and assignments current in Configio and approved systems
Partner with the Program Director and Coach Manager to confirm staffing, equipment, supplies, site access, and partner requirements before launch.
Activate established weather, safety, and incident processes; document changes and escalate decisions to the designated leader.

People and day-of coordination

Serve as the operational point person for coaches, connecting them with the information and resources needed to deliver confidently.
Coordinate private lessons, on-site logistics, and operational handoffs while routing coaching, conduct, or curriculum concerns to the appropriate manager.
Work with Family Experience, program partners, sites, and vendors to communicate schedule changes, cancellations, transfers, and launch details clearly.
Step in with calm, practical support when plans shift—and close the loop so unresolved issues do not carry into delivery.

Equipment, systems, and follow-through

Maintain accurate equipment, kit, supply, and deployment records across markets; flag loss, damage, maintenance needs, and shortages.
Confirm site maps, access, meeting points, storage, vehicle, and trailer logistics so equipment arrives safely and on time.
Review timesheets and resolve missing information before manager approval.
Maintain organized attendance, incident reports, certifications, availability, and staffing records, and share concise readiness updates with the team.

Adaptability: You can move between office coordination and on-site problem-solving in a seasonal, weather-dependent environment.

What you’ll bring

We care more about demonstrated capability than a specific degree or career path. You may have built these skills through youth programming, recreation, education, hospitality, events, office administration, multi-site operations, or another fast-moving service environment.

Experience coordinating schedules, details, deadlines, people, or resources in a fast-moving environment.
Confidence using spreadsheets, scheduling platforms, and shared administrative tools—and the ability to learn Configio.
Clear written and verbal communication, discretion, reliability, and sound judgment.
Experience with seasonal teams, payroll inputs, inventory, youth programs, community partners, or outdoor recreation is helpful, not required.

Practical requirements

Pass required background checks and meet Pedal Kids child-safety expectations.
Hold a valid driver’s license and reliable transportation for local site support, subject to company driving requirements.
Obtain and maintain required certifications, including CPR/First Aid when applicable.
Work occasional evenings or weekends and provide periodic support in outdoor program environments.
Communicate by phone and computer, travel between local sites, and occasionally move program supplies or bicycles, with reasonable accommodations available.
