Full Job Description

Accountant / Bookkeeper — Construction

Location: Jacksonville, FL (on-site) Employment type: Full-time Reports to: Owner / President Compensation: $40,000–$60,000, commensurate with construction accounting experience, plus benefits

About the Role

We are a growing construction company seeking an experienced accountant/bookkeeper to own our accounting function end to end. This is a blended role: you'll handle the full day-to-day bookkeeping cycle and the accounting and analysis that keep ownership informed — month-end close, financial statements, job-level profitability, and cash flow reporting.

We run our project financials in Buildertrend, and we lean on it heavily. Much of our WIP tracking and cash flow analysis lives in Buildertrend, so we need someone who is genuinely familiar and comfortable working within Buildertrend's financial tools — budgets, purchase orders, invoicing, and its job-costing and reporting features. You don't need to rebuild these schedules from scratch in Excel; you need to know how to operate, maintain, and interpret them inside the system, keep the underlying data clean, and reconcile it back to the general ledger.

Key ResponsibilitiesProject Accounting & Job Costing

Maintain accurate job costing across all active projects in Buildertrend, allocating labor, materials, subcontractor costs, and overhead to the correct jobs and cost codes.
Keep Work-in-Progress (WIP) tracking current within Buildertrend — monitoring over/under billings and job-level margins — and reconcile it to the general ledger.
Support percentage-of-completion revenue recognition and review job performance with ownership.
Track retainage on both receivables and payables, ensuring it is billed and released correctly.

Cash Flow & Financial Analysis

Maintain cash flow reporting and forecasting, using Buildertrend's project financial data alongside the general ledger, so ownership has clear visibility into project and company liquidity.
Produce job-level profitability reporting and flag margin issues early.
Prepare monthly financial statements (P&L, balance sheet, cash flow) and review key metrics with ownership.

Billing & Accounts Receivable

Produce progress billings and pay applications, including AIA-style G702/G703 documentation where required.
Manage the full AR cycle: invoicing, collections, and aging follow-up.
Coordinate lien waivers (conditional and unconditional) with billing and payment milestones.

Accounts Payable & Subcontractor Management

Process vendor and subcontractor invoices against job budgets and commitments in Buildertrend.
Verify subcontractor compliance documentation (insurance certificates, W-9s, lien waivers) before payment.
Maintain 1099 tracking for subcontractors and prepare year-end 1099 filings.

Payroll

Process payroll or coordinate with our payroll provider, ensuring accurate job and cost-code allocation of labor.
Prepare certified payroll reports and maintain prevailing-wage (Davis-Bacon) compliance on applicable public/government projects.
Reconcile payroll liabilities and support annual workers' compensation and general liability audits with clean, well-organized records.

General Ledger & Close

Own the general ledger: journal entries, accruals, and account reconciliations (bank, credit card, loans, lines of credit).
Perform monthly close and ensure Buildertrend project data ties out to the books.
Reconcile equipment loans, notes, and depreciation schedules with the CPA.

Compliance & Tax Support

Prepare and file sales/use tax returns as applicable, and support annual tax preparation with the outside CPA.
Maintain organized, audit-ready records for lenders, sureties, and bonding requirements.

Required Qualifications

3+ years of bookkeeping/accounting experience in the construction industry.
Familiarity and hands-on comfort with Buildertrend, including its budget, purchase order, invoicing, and job-cost/financial reporting features.
Solid understanding of job costing and WIP / percentage-of-completion concepts, and the ability to maintain and interpret them within Buildertrend.
Ability to produce and interpret cash flow reporting and forecasts.
Working knowledge of retainage, progress billing, lien waivers, and subcontractor compliance.
Experience with certified payroll and prevailing-wage reporting.
Proficiency across the full accounting cycle through financial statement preparation.
Strong Excel skills for reconciliation and ad hoc analysis alongside Buildertrend.
High integrity and discretion — this role has direct access to company financials.

Preferred Qualifications

Associate's or Bachelor's degree in Accounting, or professional certification such as AIPB Certified Bookkeeper (CB) or NACPB Certified Professional Bookkeeper (CPB).
Experience supporting surety/bonding submissions and lender reporting.
Familiarity with QuickBooks (Online or Desktop) alongside Buildertrend, and experience reconciling the two.
Experience with Florida-specific and local tax/compliance requirements.

What Success Looks Like

Books close accurately each month, with Buildertrend project data tying cleanly to the general ledger.
WIP and job margins are current and trustworthy for ownership decisions and bonding.
Ownership has a timely, accurate picture of cash flow and project profitability.
Subcontractor compliance and 1099s are clean, so year-end and insurance audits are non-events.
