Full Job Description

JOB SUMMARY:

The Recruiting Coordinator provides administrative and coordination support for the full recruiting and onboarding process for shipyard trades preferably. This position helps ensure timely candidate communication, accurate recordkeeping, compliant hiring practices, and effective coordination between Human Resources, hiring managers, candidates, and operations leadership.

Essential Functions:

Coordinates recruiting activities, including job postings, candidate communications, interview scheduling, and routing qualified applicants to the appropriate HR or hiring personnel.

Familiar with Shipyard Trades like welder, shipfitter, machinist, marine electricians etc..

Tracks candidate status throughout the hiring process and follows up with candidates, hiring managers, recruiters, and HR team members to support timely hiring decisions.

Supports pre-employment and onboarding activities, including required screenings, documentation, start date coordination, orientation preparation, access requests, and new hire communications.

Maintains accurate applicant, candidate, recruiting, and new hire records in designated systems, shared folders, and files.

Supports compliance with company recruiting procedures, equal employment opportunity requirements, affirmative action processes, OFCCP recordkeeping, and applicable employment laws.

Coordinates recruiting events, career fairs, and community outreach activities, including preparation, materials, scheduling, and follow-up.

Provides administrative support for labor management activities, including documentation, workforce status updates, follow-up tracking, communications, and meeting coordination.

Prepares recruiting reports, candidate tracking updates, and administrative summaries as requested.

Responds professionally to recruiting-related inquiries and escalates confidential, sensitive, or complex matters to the appropriate HR team member.

Performs other duties as assigned.

QUALIFICATIONS:

High school diploma or GED equivalent required; associate degree or coursework in Human Resources, Business Administration, Communications, or a related field preferred.

One to three years of administrative, human resources, recruiting, staffing, customer service, or office support experience preferred.

Experience supporting recruiting, onboarding, applicant tracking, HRIS, job posting, or employment screening processes preferred.

Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.

Must be authorized to work in the United States.

Must be eligible to gain access to military installations and other secure work sites.

Ability to successfully complete any required background investigation, drug screen, or other employment-related screening.

KNOWLEDGE, SKILLS, AND ABILITIES:

Strong organizational skills with the ability to manage multiple priorities, deadlines, records, and follow-up activities in a fast-paced environment.

Professional verbal and written communication skills with the ability to interact effectively with candidates, employees, managers, vendors, and external partners.

High level of discretion, professionalism, and sound judgment when handling confidential, sensitive, or time-sensitive matters.

Ability to collaborate with HR, hiring managers, operations leadership, and other stakeholders to support recruiting, onboarding, and workforce coordination needs.

Basic understanding of recruiting practices, employment documentation, EEO principles, OFCCP recordkeeping, HR compliance requirements, and labor management coordination.

Ability to learn and use applicant tracking systems, HRIS platforms, job posting tools, and other recruiting technologies.

Environmental Conditions:

This position generally works in an office environment and may occasionally visit production or work-site areas. During work-site visits, the employee may be exposed to loud noises, hazardous chemicals or fumes, airborne particles, smoke, extreme temperatures, moving mechanical parts, or other industrial conditions. The employee is required to wear appropriate personal protective equipment during work-site visits, including but not limited to hard hat, ear plugs or attenuator, safety shoes, dust mask or respirator, and gloves, and must follow all applicable safety rules and regulations.
