Full Job Description

Job Overview

The Controller is a hands-on finance leader responsible for accounting operations, financial reporting, internal controls, and the continuous improvement of Finance department processes. This role is expected to strengthen the department by improving workflows, automating manual functions, building advanced spreadsheet and reporting tools, documenting procedures, cross-training staff, and developing scalable processes that support a company-wide reorganization and future operating model. The Controller will work directly with Finance staff to train, coach, and improve execution while ensuring accurate, timely, and GAAP-compliant financial results.

This position requires a leader who is not satisfied with simply maintaining current processes. The successful candidate will actively analyze existing accounting, reporting, close, disbursement, accounts receivable, and financial operations processes; identify inefficiencies, risks, and bottlenecks; and implement practical improvements that increase accuracy, speed, consistency, accountability, and scalability. The Controller will also assist with building and coordinating an overseas finance team to support extended-hours or round-the-clock finance operations as the company evolves.

Responsibilities

Lead day-to-day accounting operations, including general ledger, accounts payable, accounts receivable, cash management, payroll-related accounting support, close processes, consolidations, and financial reporting.
Own the monthly, quarterly, and annual close process, with a focus on improving timelines, reducing manual work, improving reconciliations, and increasing transparency into close status and ownership.
Prepare, review, and distribute accurate and timely internal and external financial statements, management reports, budgets, forecasts, audit schedules, and ad hoc financial analysis.
Develop, maintain, and continuously improve accounting policies, procedures, internal controls, workflows, and reporting standards.
Analyze existing Finance department processes and recommend improvements rather than continuing inefficient legacy practices.
Identify automation opportunities across accounting, reporting, reconciliations, cash forecasting, billing, payment processing, payroll interfaces, and recurring analysis.
Build, improve, and maintain advanced spreadsheets, templates, validations, roll-forwards, reconciliations, dashboards, and analysis tools that improve departmental accuracy and efficiency.
Partner with leadership and staff to standardize processes, reduce dependency on individual knowledge, and improve documentation across accounting and finance activities.
Train, coach, and develop Finance staff through hands-on support, recurring feedback, process walkthroughs, and practical skill-building.
Push staff cross-training and ensure key tasks have documented backups, process owners, and clearly defined procedures to support company-wide reorganization and business continuity.
Assist in designing the Finance department structure, roles, and workflows needed to support future growth, automation, system changes, and an overseas support model.
Support the buildout and coordination of an overseas finance team, including identifying suitable tasks for offshore support, documenting procedures, training resources, defining quality controls, and establishing handoff processes.
Oversee accounting operations of subsidiary corporations, including control systems, transaction-processing operations, intercompany activity, and policies and procedures.
Maintain systems and controls that verify the integrity of financial systems, processes, and data while enhancing the company’s value.
Guide financial decisions by establishing, monitoring, and enforcing accounting policies, procedures, internal controls, and reporting practices.
Protect company assets by establishing, monitoring, and enforcing effective internal controls and segregation of duties.
Support external audits by coordinating schedules, preparing documentation, responding to auditor requests, and addressing recommendations or control findings.
Oversee disbursement activities, including accounts payable, purchase orders, employee expense reports, cash controls, and payroll-related compliance support.
Oversee accounts receivable activities, including billing, cash receipts application, aging review, customer funding support, and related reporting.
Prepare special reports by collecting, analyzing, and summarizing financial information, operating trends, process issues, and improvement opportunities.
Ensure compliance with federal, state, and local requirements by monitoring changes, enforcing adherence, filing required reports, and advising management on needed actions.
Maintain confidentiality of financial information, plans, employee information, vendor information, and company data.
Contribute to the broader Finance team by completing related duties, special projects, system implementation support, and process improvement initiatives as assigned.

Supervisory Duties

Manage, coach, and develop Finance department staff.
Assign work, monitor results, provide feedback, and hold staff accountable for quality, timeliness, documentation, and continuous improvement.
Promote cross-training, backup coverage, and process documentation across the department.
Support organizational design and staffing changes, including coordination with domestic and overseas team members as needed.

Skills and Abilities

Strong hands-on accounting leadership skills with the ability to work at both a strategic and detailed execution level.
Demonstrated ability to analyze processes, identify root causes, challenge legacy practices, and implement practical improvements.
Advanced Microsoft Excel skills, including complex formulas, lookups, pivot tables, structured templates, reconciliations, validations, and analysis models; experience with Power Query, Power Pivot, Power BI, or similar tools is a plus.
Ability to use financial systems and reporting tools to automate recurring work, improve controls, and enhance management reporting.
Strong understanding of accounting operations, internal controls, financial reporting, budgeting, forecasting, audit support, and GAAP requirements.
Experience developing, documenting, and enforcing accounting standards, procedures, and controls in a complex organization.
Ability to coach and train staff directly, explain accounting concepts clearly, and build stronger department capabilities over time.
Ability to lead cross-training, process documentation, and role clarity initiatives across a changing Finance organization.
Strong analytical skills with the ability to interpret financial results, identify trends, and make recommendations to management.
Effective written and verbal communication skills, including the ability to communicate process changes, expectations, financial results, risks, and recommendations clearly.
Ability to manage multiple priorities, deadlines, and stakeholders while maintaining accuracy and confidentiality.
Comfort working through change, system transitions, organizational redesign, automation initiatives, and evolving operating models.
Knowledge of the medical, healthcare, benefits administration, insurance, TPA, or related industry is a plus.

Education and Experience

Bachelor's degree in Accounting, Finance, or related field required.
Eight or more years of progressive hands-on accounting experience, including accounting management experience.
Experience managing accounting teams, improving accounting processes, and producing financial statements and management reporting.
Experience with ERP systems, financial reporting tools, and process automation preferred.
CPA license preferred; CMA or other relevant professional designation also valued.
Experience in healthcare, medical administration, benefits administration, insurance, TPA, or a related industry is preferred but not required.
