Atlantic Bay Mortgage Group, recently voted #1 in the nation as the best large mortgage company to work for by National Mortgage News, is seeking a Senior Origination Specialist in our Asheville, North Carolina office to join our team.
The person in this role will work closely with the Senior Mortgage Banker and two experienced mortgage professionals who each play an essential role in the team’s client service, loan execution, operations, and continued growth. Together, the team works collaboratively to manage daily originating activities, pipeline flow, client communication, loan structure, and the systems required to operate a high-volume mortgage practice effectively. There is no expectation to cold call, prospect realtors, or build an individual book of business, although personally referred business is welcomed.
What you’ll be doing
Mortgage Origination and File Structure
- Reviewing new loan applications as needed for completeness, accuracy, and potential qualification concerns.
- Analyzing credit, income, assets, liabilities, and property information.
- Assisting with structuring Conventional, FHA, VA, USDA, construction, and other mortgage loan scenarios.
- Running and reviewing automated underwriting findings.
- Identifying documentation needs, qualification concerns, and potential solutions before they become problems.
- Preparing cost estimates and loan comparisons for prospective and active clients.
- Assisting with issuing and updating pre-approval letters.
- Helping organize files for underwriting, pre-underwriting review, and conditional approval.
- Supporting the Senior Mortgage Banker and broader team with everyday originating activities and time-sensitive loan questions.
Communication Management
- Monitoring and helping manage the Senior Mortgage Banker’s email inbox and business text messages throughout the workday.
- Triaging incoming communication, identifying urgent matters, and ensuring important questions receive timely responses.
- Drafting and sending client, agent, builder, and referral partner communication on behalf of the Senior Mortgage Banker using sound judgment and established company protocols.
- Managing routine client communication primarily through email and text while maintaining the Senior Mortgage Banker’s communication style and the team’s high standard of service.
- Communicating documentation needs, next steps, loan updates, and expectations clearly and professionally.
- Escalating sensitive, complex, or relationship-driven conversations when the Senior Mortgage Banker’s direct involvement is needed.
- Coordinating closely with other team members to ensure communication is consistent, accurate, and appropriately assigned.
Pipeline and Team Operations
- Monitoring the active pipeline and helping ensure important milestones, financing contingencies, rate-lock deadlines, and closing dates are met.
- Assisting with providing proactive updates to clients, agents, builders, and other transaction partners.
- Tracking outstanding items and following up with the appropriate team member, client, or third party.
- Partnering with Processing, Underwriting, Closing, and other internal departments to resolve issues.
- Collaborating with the team to support smooth handoffs between pre-approval, contract, processing, underwriting, closing, and post-closing stages.
- Maintaining accurate notes, tasks, and communication records within the company’s loan origination and customer relationship management systems.
- Assisting with ongoing pipeline reviews and helping ensure no client, task, or deadline is overlooked.
- Contributing to a team environment in which responsibilities are shared thoughtfully and every team member is empowered to take ownership within their area of expertise.
Systems and Process Ownership
- Helping to develop, implement, document, and maintain systems that support a growing mortgage business.
- Identifying inefficiencies, communication gaps, and recurring problems within the workflow.
- Recommending and executing practical solutions rather than simply identifying issues.
- Creating and maintaining checklists, templates, processes, tracking tools, and communication standards.
- Ensuring established systems are consistently followed across the team.
- Working collaboratively with the Senior Mortgage Banker and other team members to improve workflows and strengthen execution.
- Helping the team prepare for continued growth without sacrificing accuracy, responsiveness, or the client experience.
- Taking ownership of assigned responsibilities and follow matters through to completion.
- Proactively anticipating the needs of the Senior Mortgage Banker, fellow team members, clients, and referral partners.
- Helping create structure and accountability around recurring tasks, communication standards, and pipeline responsibilities.
What you’ll bring
- At least three to five years of mortgage industry experience in a senior loan officer assistant, loan officer, processor, mortgage operations, or similar role
- Must be licensed or willing and able to obtain any mortgage licenses required for the final responsibilities and states supported by the team
- Strong working knowledge of Conventional, FHA, VA, and USDA lending guidelines
- Experience reviewing mortgage applications, analyzing borrower documentation, structuring files, and running automated underwriting
- Comfortable working within loan origination, pricing, document management, and customer relationship management systems
- Strong written communication skills and the judgment to communicate professionally on behalf of a high-producing loan officer and established mortgage team
- Highly organized, detail-oriented, and able to manage competing priorities in a high-volume environment
- Proactive and solution-oriented, with the ability to anticipate needs rather than waiting for instructions
- Comfortable making routine decisions independently while knowing when to collaborate or escalate an issue
- Able to remain calm, accurate, and responsive when priorities shift
- Genuinely invested in the borrower, referral partner, and team experience
- Discreet and trustworthy when handling confidential borrower, employee, and business information
- Collaborative, consistent, accountable, and interested in a long-term position

- Must be willing to provide occasional evening or weekend support when a client, contract, or urgent transaction requires it
