Administrative & Intake Coordinator – Mental Health Practice (Part-Time → Full-Time Growth) Location: Grand Blanc, MI

Starting Schedule: 10–15 hours/week (Monday–Friday, daytime)

Future Schedule: Full-time as practice grows

Compensation: $18/hr part-time → $38,000/year + benefits when full-time

About Our Practice We are a small, growing mental health group practice focused on providing compassionate, high‑quality care to our community. Our environment is calm, organized, and supportive — no chaotic medical office pace, no nights or weekends, and no crisis intake work. As we expand, we’re seeking an Administrative & Intake Coordinator who wants to grow with us and become a key part of our team.

This role begins part-time and is designed to transition into a full-time position with salary and benefits as the practice continues to scale.

Position Overview The Administrative & Intake Coordinator is the central administrative role in the practice. You will manage client intake, scheduling, communication, monthly invoices, light billing support, and basic marketing/outreach tasks. This position is ideal for someone who enjoys meaningful work, values structure, and wants long‑term growth within a small practice.

Key Responsibilities

Intake & Client Communication

Answer incoming calls and return voicemails promptly
Respond to new client inquiries and guide clients through the intake process
Provide clear information about services, scheduling, and practice policies
Maintain a warm, professional, and supportive tone with all clients

Scheduling & Calendar Management

Schedule new and existing client appointments
Manage clinician calendars and coordinate schedule changes
Monitor cancellations/no‑shows and proactively reschedule
Ensure accurate, up‑to‑date scheduling across the practice

Intake Paperwork & Documentation

Send and track intake paperwork
Verify insurance benefits and document coverage details
Maintain organized digital records and ensure all required forms are completed
Enter client information accurately into the EHR

Payments, Invoices & Billing Support

Generate and send monthly invoices
Track client balances and follow up on overdue payments
Process payments and assist with basic billing questions
Flag complex billing issues for the practice owner

Marketing & Outreach

Monitor incoming leads from Google Ads, website forms, and referral sources
Respond quickly to new inquiries to maximize conversion
Assist with simple marketing tasks (Google Business Profile updates, outreach emails, etc.)
Track lead sources and report monthly trends

Administrative Operations

Maintain a clean, organized office environment
Manage office supplies and incoming mail/faxes
Support clinicians with administrative needs
Ensure confidentiality and HIPAA compliance at all times

Practice Growth Support

Assist with onboarding new clinicians
Track weekly scheduling metrics
Take on additional responsibilities as hours increase toward full-time

Requirements

High school diploma or equivalent (required)
1–2 years of administrative, receptionist, scheduling, or customer service experience (required)
Strong communication skills (phone, email, in‑person)
Comfortable learning new systems and workflows
Organized, detail‑oriented, and dependable
Ability to maintain confidentiality and follow HIPAA guidelines
Basic computer proficiency (email, scheduling systems, digital forms)
Healthcare or mental health experience is helpful but not required
