Full Job Description

SCOPE: The Unit Turn Coordinator is responsible for planning, coordinating, and overseeing all activities associated with preparing Asset Management units for occupancy by new residents. This position leads maintenance staff and contractors to ensure vacant units are restored efficiently, safely, and to CMHA's established Gold Standard of quality.

The incumbent promotes a culture of Respect, Integrity, Accountability, Professionalism, Initiative, Creativity, Accuracy, Timeliness, Quality, and Exceptional Service while ensuring unit turnover activities support resident satisfaction, operational excellence, regulatory compliance, and effective stewardship of Agency resources. This position reports directly to the General Maintenance Superintendent.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The below statements are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties and/or skills required.

Plan, coordinate, and supervise daily unit turnover operations to ensure vacant units are completed accurately, efficiently, and within established timelines.

Lead, coach, and develop maintenance staff and contractors by fostering teamwork, accountability, professionalism, and continuous improvement.

Conduct comprehensive inspections of vacated units to identify maintenance deficiencies, code issues, safety concerns, and repair requirements.

Prepare detailed work orders, establish priorities, and allocate resources to achieve timely and cost-effective unit turnovers.

Monitor work quality throughout the turnover process to ensure all units meet CMHA's Gold Standard for quality, safety, cleanliness, and resident readiness.

Coordinate and oversee maintenance activities including carpentry, painting, flooring, plumbing, electrical, HVAC, appliance repair, and general maintenance.

Maintain accurate and timely documentation of inspections, work orders, completed repairs, inventory usage, and unit turnover status.

Utilize maintenance management systems and Agency software to track work progress, monitor productivity, and generate required reports.

Coordinate turnover schedules with Property Management to minimize vacancy days while maintaining quality standards and minimizing disruption to residents.

Respond to resident and management inquiries with professionalism, respect, and exceptional customer service.

Monitor expenditures and utilize Agency resources responsibly while maintaining budget expectations and identifying opportunities for operational efficiencies.

Ensure all work complies with applicable federal, state, local, HUD, OSHA, environmental, and Agency regulations, policies, and procedures.

Promote and enforce a safe working environment by ensuring compliance with all safety policies, procedures, and required training.

Administer personnel responsibilities in a fair, respectful, and consistent manner, including compliance with applicable collective bargaining agreements.

Establish clear performance expectations, provide regular coaching and constructive feedback, recognize accomplishments, and address performance issues promptly.

Demonstrate initiative by identifying process improvements and implementing creative solutions that improve efficiency, quality, and resident service.

Monitor employee attendance, approve time records, review purchase orders, and ensure payroll information is submitted accurately and timely.

Complete reports involving workplace injuries, equipment damage, accidents, and other operational incidents in accordance with Agency requirements.

Maintain operational statistics and performance metrics to evaluate productivity, improve work standards, and support data-driven decision-making.

Perform other duties and special projects as assigned.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each competency satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

DESIRED QUALIFICATIONS:

Comprehensive knowledge of residential maintenance practices, including carpentry, plumbing, electrical systems, painting, HVAC, flooring, and general building repairs.
Demonstrated ability to plan, organize, and coordinate multiple unit turnover projects while meeting established deadlines and quality standards.
Strong leadership, coaching, and team-building skills with the ability to motivate employees and contractors while promoting accountability and high performance.
Excellent verbal and written communication skills with the ability to interact professionally and respectfully with residents, employees, contractors, and management.
Strong customer service orientation with a commitment to providing exceptional service and resolving issues in a timely and professional manner.
Ability to analyze maintenance needs, prioritize competing demands, and make sound decisions in a fast-paced environment.
Working knowledge of applicable safety regulations, building codes, and industry best practices.
Proficiency in computerized maintenance management systems (CMMS), work order software, and Microsoft Office applications, including Outlook, Word, and Excel.
Ability to prepare accurate reports, maintain detailed records, and monitor budgets and operational performance.

EDUCATION/EXPERIENCE/CERTIFICATIONS:

High school diploma or GED required; vocational training or technical coursework in a skilled trade is preferred.

Relevant trade certifications, licenses, or certifications in HVAC, plumbing, electrical, carpentry, or related maintenance disciplines are preferred.

Minimum of three (3) to five (5) years of progressively responsible residential or multifamily property maintenance experience, including unit turnover operations.

At least three (3) years of supervisory or lead experience directing maintenance personnel or contractors is preferred.

Experience working in a unionized environment and administering work in accordance with collective bargaining agreements is preferred.

OTHER: The candidate must possess and maintain a valid driver's license in state of residence, and maintain an insurable driving record under the terms and conditions of the CMHA auto liability policy. The candidate may have no more than 6 accumulated points in 3 consecutive years.
