Job Overview

We are seeking a a highly organized and detail-oriented Project Administrator to support project managers, accounting personnel, and field operations throughout the lifecycle of commercial electrical construction and service projects. This role serves as a key liaison between project teams, clients, vendors, and internal departments, ensuring projects are properly documented, accurately billed, financially tracked, and completed efficiently.

The ideal candidate will possess strong administrative, organizational, and communication skills, with the ability to manage multiple priorities in a fast-paced environment. Responsibilities include project documentation management, client invoicing, accounts receivable follow-up, financial reporting, meeting coordination, permit administration, and maintaining accurate project reporting.

Responsibilities

Assist in data entry involving detailed project plans, schedules, and budgets using tools such as Microsoft Office and Smartsheet.
Coordinate meetings, prepare agendas, facilitate discussions, and document action items throughout the project lifecycle.
Work closely with business units to define needs and translate them into actionable project tasks.
Manage project documentation including purchase orders, project opportunities, contracts and subcontracts, change order requests, and status reports.
Multitask and Collaborate with cross-functional teams.
Prepare and maintain meeting minutes, organize project documentation, and manage electronic filing systems.
Generate and process client invoices, ensuring timely and accurate billing.
Monitor and follow up on outstanding accounts receivable to support cash flow and collections efforts.
Update and maintain monthly Work-in-Progress (WIP) reports, providing accurate project status, financial performance, and profitability information to the Home Office Accounting Department.
Coordinate with project managers and accounting personnel to ensure project costs, revenue, and profit projections are accurately reflected and aligned with company financial objectives.
Assist with permit applications, notice of commencements, notice to owner documentation, and the scheduling of necessary inspections.

Skills

Accounts Receivable (AR) tracking and collections follow-up.
Financial reporting and job cost tracking.
Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook as well as project management software (Smartsheet).
Attention to detail and accuracy.
Time management and multitasking abilities.
Ability to prioritize and manage multiple projects simultaneously.
Strong analytical and problem-solving skills.
Professional customer service and client relationship management skills.
Understanding of project profitability, budgeting, and financial performance metrics
Strong follow-through and accountability.
Ability to coordinate effectively with project managers, accounting personnel, clients, and vendors.
Knowledge of construction project administration processes preferred.
Understanding of contract documentation, change orders, purchase orders, and project billing preferred.
