Full Job Description

Bilingual Secretary / Receptionist - Used Car Dealership

We are seeking a dependable, organized, and professional Bilingual Secretary/Receptionist to join our used car dealership. The ideal candidate will be proficient in both English and Spanish and comfortable communicating with customers and coworkers in person, by phone, text, and email.

This position combines front-desk responsibilities, administrative support, website and vehicle inventory updates, customer service, and assistance with vehicle sales and financing. Training will be provided for our dealership software and financing systems.

Responsibilities

Greet customers and provide friendly, professional assistance.
Communicate clearly with English- and Spanish-speaking customers.
Answer and direct phone calls, texts, emails, and online inquiries.
Schedule appointments and follow up with prospective customers.
Manage the dealership website and keep vehicle listings current.
Upload vehicle photos, prices, descriptions, mileage, and other inventory information.
Remove sold vehicles and update listing details as needed.
Maintain organized physical and electronic filing systems.
Enter customer, vehicle, and sales information accurately.
Assist with preparing documents and paperwork for vehicle sales.
Learn and use the Wayne Reaves Dealer Management System.
Learn to navigate Credit Acceptance for customer applications, financing, and vehicle deals.
Assist customers through the buying process while maintaining professionalism and confidentiality.
Support dealership management and sales staff with general administrative duties.
Help keep the reception and office areas clean and organized.

Qualifications

Proficient in English and Spanish, both written and spoken.
Strong customer service and communication skills.
Professional, friendly, and respectful attitude.
Organized, dependable, punctual, and detail-oriented.
Comfortable using computers, email, websites, and office software.
Able to upload and organize vehicle photos and online listings.
Willing to learn dealership sales, financing, and inventory systems.
Able to handle confidential customer and financial information responsibly.
Capable of managing several tasks in a fast-paced environment.
Previous receptionist, secretary, customer service, automotive, or sales experience is preferred but not required.

Training

Experience with Wayne Reaves or Credit Acceptance is helpful but not required. The selected candidate will receive training on:

Wayne Reaves Dealer Management System
Credit Acceptance platform
Vehicle inventory and website management
Customer applications and financing processes
Sales documentation and dealership procedure

We are looking for full time. We operate Mon-Sat from 9am to 6pm. 1hr lunch break is provided. Commission can be added to paycheck if you bring in customers and sell vehicles on your own.
