We R Builders, Inc. is a fast-growing construction company with an increasing focus on California public works and underground utility construction.
As we expand in this sector, we are building the internal team and systems needed to support that growth. We are looking for an experienced Construction Office Administrator who is ready to take ownership, move with urgency, and grow alongside the company.
Professional construction industry experience is required. Applicants without construction experience will not be considered.
This is not a traditional administrative position. We are looking for someone with the experience, judgment, critical-thinking ability, and drive to eventually become the person leadership can trust to keep the office running without constant oversight.
The Role
You will be responsible for keeping the administrative side of our construction operation organized, moving, and ahead of deadlines.
Your responsibilities will include:
- Managing daily construction office workflow and priorities
- Maintaining project files, contracts, change orders, purchase orders, permits, and project documentation
- Managing subcontractor agreements, COIs, W-9s, licenses, and compliance documentation
- Tracking deadlines, renewals, approvals, signatures, and outstanding items
- Coordinating with project teams, field personnel, subcontractors, vendors, clients, and agencies
- Supporting California public works and DIR administrative compliance
- Maintaining project calendars and critical deadlines
- Preparing professional correspondence, reports, spreadsheets, and documentation
- Following up until outstanding matters are resolved and closed
- Identifying missing information, potential problems, and approaching deadlines before they become urgent
- Improving office systems and processes as the company grows
Payroll and accounting are handled by dedicated personnel and are not part of this position.

We are particularly interested in candidates with backgrounds as a Construction Office Administrator, Project Administrator, Project Coordinator, Construction Coordinator, Assistant Project Manager, or Project Engineer.
Experience with public works, underground utilities, civil construction, general contractors, subcontractors, DIR requirements, contracts, change orders, permits, COIs, project documentation, agency coordination, or subcontractor compliance is highly valued.
The Opportunity
This position begins as Construction Office Administrator—not Office Manager.
But we are intentionally looking for someone capable of becoming one.
