Full Job Description

Position Summary

The Marketing & Outreach Coordinator builds the Hyperthermia Cancer Institute's (HCI) brand awareness, community presence, and referral base. The role has three pillars: (1) provider outreach — building relationships with referring radiation oncologists, medical oncologists, and other clinics to discuss HCI's services and generate referrals; (2) owning HCI's social-media strategy, content, and community engagement; and (3) planning and staffing community and charity events. The priority is measurable growth in reach, community presence, and new-patient referrals.

Primary objective: A central goal of this role is to actively facilitate the growth and expansion of the practice — through new referral relationships, brand visibility, and community presence.

Reports to: Practice leadership.

Status: W-2 employee; full-time; on-site (in-person) at HCI's Irvine office.

Core Responsibilities

1. Provider Outreach & Referral Development

▪ Build and maintain relationships with referring radiation oncologists, medical oncologists, integrative/naturopathic, and other clinics to discuss HCI's services and generate referrals.

▪ Identify and prioritize referral targets and maintain a referral-source database with contact history and follow-up.

▪ Schedule and coordinate outreach touchpoints — introductory meetings, lunch-and-learns, and practice visits — and prepare and deliver referral materials (referring-physician information sheets and referral forms).

▪ Support the physicians' peer-to-peer outreach (e.g., Dr. Crittenden and Dr. Pinzone): arrange meetings, prepare materials, and manage follow-up.

▪ Close the loop — track referrals received and keep referring offices informed and engaged.

2. Social Media Strategy, Content & Community Management

▪ Develop and own HCI's social-media strategy — goals, target audiences, channels, posting cadence, and a campaign calendar.

▪ Manage content creation end to end: direct practitioners and staff to capture content, set up on-site video and photo shoots, and route drafts to the freelance editor for finishing.

▪ Schedule and publish posts across HCI's channels (Instagram, Facebook, and others as appropriate) on a consistent cadence.

▪ Interact with and grow the brand's community — respond to comments, messages, and inbound inquiries in a timely, on-brand manner; route clinical questions to clinical staff.

▪ Monitor and encourage online reviews and the practice's online reputation.

▪ Track performance and refine the strategy based on reach, engagement, and results.

3. Community Events

▪ Research, plan, organize and staff HCI's presence at community and charity events — awareness and fundraising walks (e.g., Susan G. Komen, City of Hope), health fairs, and local sponsorships.

▪ Manage event logistics: registration, booth and signage setup, materials and giveaways, staffing, and post-event follow-up.

▪ Capture photo and video content at events for use across social media.

4. Coordination, Analytics & Reporting

▪ Coordinate with providers and staff on content capture, outreach, and event scheduling.

▪ Manage the freelance editor/designer and any vendors.

▪ Track key performance indicators and deliver a monthly report to leadership (see Success Metrics).

Qualifications

▪ 2+ years of marketing / social-media experience; healthcare, med-spa, or wellness a plus.

▪ Demonstrated social-media strategy and content creation, with basic video and photo capture

▪ Strong interpersonal and relationship-building skills suited to professional outreach with physicians and clinics.

▪ Event coordination or brand-activation experience.

▪ Self-driven and highly self-directed — owns initiatives and moves them forward.

▪ Creative and strategic — able to build strategic models and develop a practice-growth strategy to present to management.

▪ Adaptable and ready to pivot — adjusts strategy and priorities quickly as results and business needs evolve.

▪ Working knowledge of healthcare marketing compliance (HIPAA, truthful advertising, testimonial/endorsement rules).

▪ A portfolio of prior social content and campaigns, ideally with growth or engagement metrics.

▪ Reliable transportation for outreach and events (mileage reimbursed per California law); availability for occasional weekend events.

▪ Preferred: existing relationships in the Orange County oncology / cancer-care community

Engagement & Compensation Framework

▪ Schedule: Full-time, on-site (in-person) at HCI's Irvine office (approximately 40 hours per week), with availability for occasional evening or weekend events.

▪ Base pay: Full-time salary in the ~$62,000–$82,000 range, based on experience and education.

▪ Incentive: A quarterly performance bonus tied to activity and growth metrics — reach and engagement, events executed, referral relationships developed, and referrals generated — not a per-post, per-patient, or per-referral payment.

▪ Expenses: Mileage and pre-approved outreach and event expenses reimbursed per California requirements.

Success Metrics

▪ Contribution to overall practice-growth goals — new patients and expansion.

▪ New and active referring relationships developed (oncologists and integrative clinics).

▪ Referrals generated and tracked from outreach.

▪ Social audience growth, reach, and engagement across channels.

▪ Consistency of content output against the strategy and calendar.

▪ Community and charity events planned, staffed, and executed.

▪ Qualified inquiries or leads generated through social media, outreach, and events.

▪ Growth in online reviews and overall reputation.

Pay: $30.00 - $40.00 per hour
