Job Title: Front Desk Coordinator / Administrative Assistant (Patient Experience & Sales Focus)

Overview:
We are currently seeking a highly experienced, polished, and dynamic Front Desk Coordinator/Administrative Assistant to join our team a high end practice. This role supports integrated service lines including Plastic Surgery and Medical Aesthetics —and is the first point of contact in the patient journey across all verticals. This position plays a critical role in shaping the patient experience from initial inquiry through scheduling, consultation, and follow-up. The ideal candidate is not only operationally strong but also sales-minded, detail-oriented, and highly personable. A naturally bubbly, warm, and engaging personality is non-negotiable, as this role sets the tone for every patient interaction.

Candidates must be exceptionally organized, able to multitask across multiple service lines, and committed to following structured outreach and communication protocols with precision. Experience in a medical spa or aesthetics environment is highly valued and considered a strong advantage, but candidates with overall customer service, plastic surgery or high end concierge backgrounds will also be strongly considered.

Key Responsibilities: Patient Experience & Front Desk Operations

Serve as the first point of contact for patients across all service lines, delivering a consistently warm, polished, and high-energy experience.
Manage incoming inquiries with a strong sales mindset, confidently guiding patients to the appropriate service line and converting leads into booked consultations.
Schedule, confirm, and coordinate appointments across multiple providers and specialties, ensuring optimal patient flow.
Execute structured outreach protocols (calls, texts, emails) with meticulous attention to detail to convert leads, reduce no-shows, and maximize bookings.
Maintain a clean, organized, and elevated front desk environment reflective of a premium, multi-service practice.

Sales & Patient Journey Ownership

Actively contribute to revenue growth by converting inquiries into consultations and treatments across all departments.
Educate patients on surgical procedures, aesthetic treatments, and wellness services, including memberships and packages.
Identify opportunities for upselling and cross-selling between plastic surgery, aesthetics, and wellness offerings.
Build and maintain strong patient relationships to drive retention and lifetime value.
Track, manage, and follow up on all leads, consultations, and pending bookings with consistency and accuracy.
Meet and exceed individual and team sales targets.

Administrative & Clinical Support

Accurately input and manage patient information, medical histories, and treatment plans within the EMR system.
Assist providers across all service lines with patient flow, consultations, and treatments as needed.
Perform administrative tasks including filing, data entry, scanning, and inventory/office supply management.
Support the office manager and leadership team with operational and administrative needs.

Requirements:

Proven experience in a front desk, administrative, or patient coordinator role in a high-volume clinic, medical spa, plastic surgery practice, or hospitality industry organization.
Medspa/aesthetics experience is a strong advantage, particularly for candidates familiar with cosmetic treatments and patient conversion.
Demonstrated ability or comfort with sales, lead conversion, and client engagement.
A naturally bubbly, outgoing, and personable demeanor—this is essential to success in the role.
Exceptional attention to detail and ability to consistently follow structured systems and outreach protocols.
Strong organizational skills with the ability to multitask across multiple service lines in a fast-paced environment.
Proficiency with EMR systems and general computer platforms.
Excellent written and verbal communication skills.
Familiarity with social media platforms and basic marketing principles.
Tech-savvy with working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
Knowledge of plastic surgery procedures, aesthetic treatments, or wellness/functional medicine services is highly preferred.
Ability to maintain strict confidentiality and adhere to HIPAA guidelines.
Flexibility to work occasional evenings and weekends as needed.
