Full Job Description

Accounts Payable / Receptionist – Yardi Voyager Experience Required

We are currently seeking a motivated and detail-oriented Accounts Payable / Receptionist to join our team. The ideal candidate has strong organizational skills, excellent communication abilities, and prior experience working with Yardi Voyager software.

Accounts Payable Responsibilities:

Download vendor invoices, utility bills, and statements received via email
Collect vendor invoices, utility bills, and statements received by mail
Review invoices for appropriate documentation prior to payment
Code invoices manually and enter them into Yardi for approval
Generate manual checks and process online payments
Manage vendor accounts and run weekly check runs
Research and resolve problem invoices and coding discrepancies
File and pay Florida sales tax on a monthly and quarterly basis
Maintain accurate financial and vendor records
Complete additional projects, reports, and research as requested by the Controller, Management, and Ownership

Reception & Office Responsibilities:

Answer, screen, and direct all incoming calls professionally
Greet clients and visitors
Receive, sort, and distribute incoming and outgoing mail and packages
Process outgoing shipments via USPS, UPS, and FedEx
Order office supplies, replenish the kitchen, and coordinate purchasing with the Office Manager
Schedule servicing for office equipment as needed
Handle scheduling, purchasing, and logistics tasks
File, label, copy, and prepare documents as needed; maintain company filing systems
Coordinate with vendors and internal departments to support accounting and property management operations
Perform other general office administrative duties as assigned

Qualifications:

Previous experience in Accounts Payable and Reception duties
Proficiency in Yardi Voyager required
Strong attention to detail and organizational skills
Excellent verbal and written communication skills
Ability to multitask and work in a fast-paced environment
Proficiency in Microsoft Office Suite
