Job Summary:

The Executive Assistant provides direct administrative support to the Vice President and keeps the office running. This hands-on position owns inbox and calendar management for the organization, supports the invoicing and collections process, and manages day-to-day office operations, all in compliance with Bellwether’s handbooks, policies, and procedures. The Executive Assistant represents the company in a manner consistent with Bellwether’s culture and values at all times and works in close coordination with Bellwether staff, subcontractors, and customers.

This role is built for someone who takes complete ownership of their work. The right candidate does not wait to be told what needs doing, follows every task through to done, and treats a dropped ball as theirs to pick up regardless of whose it was.

Compensation:

This position is a full-time hourly position. 40 hours per week are expected. The hourly pay range is $28.00 to $34.00 per hour, depending on education, training, and experience.
Benefits package (eligible approximately 60 days after start) includes: platinum level medical, dental, vision, basic life, 401k matching, short term and long-term disability.
Paid holidays, sick leave, and vacation days per the current Bellwether PTO and Sick Leave Policy.

Primary Job Responsibilities:

The following duties are an overview of the primary duties and responsibilities of the Executive Assistant and should not be considered an all-inclusive list.

1. Executive Support Duties:

Manage inbox and calendar scheduling for the President and Vice President and coordinate calendar management across the organization, including scheduling internal meetings and vendor meetings.
Triage incoming email, flag items requiring the President and Vice President’s attention, and draft routine correspondence for review.
Prepare agendas, take notes, track action items, and keep meetings on time as requested.
Assist the President and Vice President with special projects, reporting, and research as assigned.
Handle confidential information with discretion at all times.

2. Customer Service & Operations Duties:

Address customer concerns by locating requested information, coordinating with the right team member, and setting follow-up appointments.
Determine the nature of customer inquiries and route them to the correct department with complete information.
Document all customer communications in our company CRM job records.
Conduct the job close-out process to ensure processes and procedures are adhered to on every job.

3. Invoicing and Accounting Support Duties:

Support the invoicing and collections process, including notifying the appropriate team member when customers are ready for final invoicing.
Assist with preparing and sending customer invoices as directed.
Make accounts receivable follow-up calls as directed by the Vice President or Accounting Manager.
Assist the Accounting Manager with entering vendor invoices and organizing bills for payment as needed.
Ensure change orders are executed and added to the job.
Maintain contractor agreements on file and ensure insurance certificates are current and compliant.

4. Office Management Duties:

Greet and assist visitors.
Receive deliveries and organize incoming mail and interoffice mail.
Own maintenance of the shared workspace, keeping it tidy, organized, and presentable for customers and other stakeholders.
Manage office supplies and place orders as inventory requires.
Own the marketing and sales collateral and samples inventory.

5. General Duties:

Communicate articulately about Bellwether services, culture, and values.
Consistently promote a professional image of Bellwether at all times.
Communicate clearly and frequently with the Vice President about activities, duties, and developments.
Promote Bellwether’s values and culture.
Be timely to all meetings, remote or in-person.
Demonstrate a ‘Can-do’ attitude, willingness to roll up sleeves, and be a team player.
Assist Production, Sales, and Support personnel where needed.
Perform other duties as may be assigned from time to time.

General Job Expectations:

Keep regular office hours at the company’s primary office location, Monday through Friday.
Remain responsive during work hours and available for calls and requests as they come up throughout the day.
Available to occasionally work outside of normal business hours, as needed.
Ability to organize and prioritize numerous tasks and complete them under time constraints.
Ability to handle a fast-paced environment with frequent interruptions and changes in priority.
Document everything in writing in the CRM software.

Ownership Standard:

Take full ownership of assigned areas from start to finish. If it sits in your lane, it is yours until it is done.
No task is complete until it is confirmed done and documented in the CRM.
Surface problems early and bring a proposed solution with them.
Own mistakes directly and fix them fast. Accountability is expected, and it is respected here.

Qualifications:

High school diploma required; college degree in Business Administration preferred.
3 or more years of administrative, executive assistant, or office management experience in a fast-paced environment.
Experience in the construction or home services industry preferred.
Proficiency with cloud-based calendar and email systems, word processing, and spreadsheets. Experience with various CRMs like Salesforce is a plus.
A genuine appetite for learning: new software, new processes, new responsibilities. Candidates who need every task assigned will not succeed in this role.
Demonstrated record of owning a function end to end, with examples ready to discuss in the interview.
A pleasant, professional phone manner and strong command of written and spoken English. Spanish is a plus.
Acute attention to detail, high level of organization, and demonstrated discretion with confidential information.
Must be able to pass a standard background check.

Pay: $28.00 - $34.00 per hour
