Full Job Description

Job Summary

The Administrative Coordinator reports to the Vice President of Operations and serves as a key member of MedSend's administrative team, with primary responsibility for supporting the Operations and Development departments, while also assisting the Programs and Events teams as needed. Working closely with the VP of Operations, Development team, and other organizational staff, this position helps ensure the day-to-day administrative functions of the office run smoothly and efficiently, supporting donor engagement, event logistics, and general office operations with professionalism and attention to detail.

Responsibilities and Duties

This role includes, but is not limited to, the following responsibilities:

· Support the growing global mission and vision of MedSend

· Provide general administrative support to the VP of Operations, with primary focus split between Operations and the Development team, while also assisting Programs and Events as needed

· Answer and return phone calls, and monitor MedSend's general email inbox

· Handle shipping, mailings, package returns, printing/preparing materials for distribution, and running errands for the team

· Order and maintain office supplies, letterhead, envelopes, and business cards for staff members as needed

· Prepare and send greeting cards to staff, board members, donors, grant recipients, and other key contacts as needed

· Assist with data entry for various departments, including updating and maintaining donor and contact records in Salesforce

· Maintain organized filing systems, both digital and physical, for office and department records

· Maintain office equipment and supplies, including document shredding

· Prepare and assist staff with expense reports, including manual expense reports

· Provide administrative support for events, including materials preparation and on-site coordination as needed

· Manage MedSend's profile on third-party charity rating sites

· Assist with appointment setting, travel arrangements, and calendar/meeting coordination as needed

· Maintain confidentiality of sensitive donor, financial, and other organizational information

· Support special projects and perform other duties as assigned by the VP of Operations

Qualifications

· Commitment to MedSend’s mission and values

· College education preferred; equivalent professional experience will be considered

· 3+ years of administrative or office coordination experience

· Strong organizational skills with the ability to manage multiple priorities

· Excellent written and verbal communication skills

· Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint) and comfort in a cloud-based environment

· Experience entering, updating, and maintaining records in Salesforce or a similar CRM

· Ability to work independently and collaboratively across departments

· Demonstrated ability to handle confidential information with discretion
