Novo Surgical's product portfolio contains more than 15,000 unique surgical instruments covering the full range of surgical specialties, including plastic surgery, orthopedics, obstetrics/gynecology, urology, ophthalmology, cardiothoracic, podiatry and laparoscopic surgery, among others. The company serves customers across the country and globe through its corporate headquarters outside of Chicago, with a lean hybrid team.

The Role:

We are seeking a Senior Customer Support & Operations Specialist to join our team. The role is a hybrid one, combining traditional, day-to-day customer service work with managerial account management and operations responsibilities. Core customer service duties include corresponding with customers by phone and email, preparing price quotes, entering orders, invoicing and processing payments. Aside from that, the role will also involve onboarding new accounts, monitoring and improving customer satisfaction, resolving complex issues that span departments, reporting on key performance indicators, working with warehouse staff to process returns and warranty claims, researching competitive products and driving process improvements.

The candidate should be comfortable interacting with multiple team members and departments on a regular basis, including customer service, sales, supply chain, finance and warehouse staff. The role requires detail-oriented task execution, the confidence to prioritize and manage work independently, and the ability to deliver customer-ready work products with minimal oversight. We're looking for people that will thrive in an entrepreneurial environment — where roles aren't always perfectly defined, taking initiative is expected, resourcefulness is required and the collective unit is more important than individual achievement.

The position is full-time and in-office at the company's corporate headquarters in Westmont, Illinois.

Responsibilities:

Routine Customer Service

Correspond with customers by phone and email on products, pricing, availability, order status, returns and warranty claims
Prepare price quotes, including larger or more complex quotations cross-referenced against competitive products
Enter orders into ERP software system and prepare paperwork for warehouse processing
Set up new customer accounts, including credit limits and terms
Invoice orders and process/apply customer payments
Follow up with customers on past-due payments
Provide order confirmations and shipping / back order updates
Track and follow up on open quotes in Salesforce
Process credit cards and remote check deposits
Provide administrative support or take on special projects assigned by management

Senior Account Management & Operations

Onboard new customers and sales representatives, including account set up and training
Monitor, measure and improve customer satisfaction, including devising and tracking KPIs
Resolve complex or escalated customer issues, including those that require coordinating across departments
Prepare pricing proposals for large contract opportunities and analyze bids against competitive offerings
Create sales tracking/tracing reports for customer buying groups and sales representatives
Manage e-commerce website functionality: set up customer accounts, reset passwords, assign price levels, assign sales reps, etc.
Follow up with customer accounts payable teams to clear invoices and avoid account holds
Identify gaps and lead improvements in routine customer service procedures

Requirements:

Bachelor's degree
4-7 years of experience in a customer service, account management or operations role
Proficient with Microsoft Office, including Outlook, Word, PowerPoint and Excel (including advanced functions)
Preference for familiarity with Sage 100 or similar ERP software
Facility with using AI tools including Claude and ChatGPT
