Full Job Description

Front Office Assistant

Reports To: Practice Manager

Schedule: Monday – Friday | 8:00 AM – 4:30 PM

Compensation: $20.00–$24.00 per hour, based on experience.

Employees who successfully complete a 90-day introductory period and demonstrate strong performance, reliability, professionalism, and initiative may be eligible for a merit-based wage review.

Position Summary

The Front Office Assistant serves as the first point of contact for clients, visitors, and vendors while providing administrative support to the Practice Manager and Firm Owner. This position is responsible for maintaining a professional and welcoming front office, assisting with daily administrative tasks, and helping ensure the office operates efficiently.

The ideal candidate is dependable, organized, detail-oriented, personable, and enjoys providing exceptional customer service while supporting a collaborative team.

Key Responsibilities

Reception & Client Services

Greet clients, visitors, and vendors in a professional and welcoming manner.
Answer and direct incoming telephone calls.
Take accurate messages and communicate them promptly.
Assist with scheduling appointments and calendar management.
Receive and distribute incoming mail and deliveries.
Maintain a clean, organized, and welcoming reception area.

Administrative Support

Provide administrative support to the Practice Manager and Firm Owner.
Assist with preparing documents, correspondence, and other administrative tasks.
Perform filing, scanning, copying, and data entry.
Maintain organized physical and electronic files.
Assist with general office projects and administrative duties as assigned.

Office Operations

Complete daily opening and closing office procedures.
Monitor office, kitchen, and restroom supplies and communicate inventory needs.
Help maintain clean, organized common areas and conference rooms.
Assist with firm events and community outreach activities as needed.
Perform other related duties as assigned.

Qualifications

High school diploma or equivalent required.
Previous receptionist, office assistant, administrative assistant, or customer service experience preferred.
Excellent verbal and written communication skills.
Professional phone etiquette and strong customer service skills.
Strong organizational and time management abilities.
Ability to multitask and prioritize effectively in a fast-paced environment.
High attention to detail and dependability.
Proficiency with Microsoft Office and general computer applications.
Ability to maintain confidentiality and professionalism.
