Full Job Description

Who we are and who we need:

We are a small company that works in the senior living industry. We work with people who care for older adults in Independent Living, Assisted Living, and Memory Care facilities. We are looking for an organized, dependable, and personable Administrative Assistant/Receptionist to join our team. This is a true “jack of all trades” position where no two days are exactly alike. We’re looking for someone who enjoys being the person to keep things organized, handles the details, solves problems, and helps keep the business running smoothly.

This position is ideal for someone who is highly organized, comfortable juggling multiple priorities, communicates well, and can move easily between administrative responsibilities, coordinating projects, assisting leadership, and helping wherever needed.

Because we are a small team, every person makes a difference. We value someone who is willing to jump in and take initiative.

What You’ll Do:

Your responsibilities will include a variety of administrative, operational, and coordination tasks, including:

· Manage day-to-day office administrative responsibilities

· Assist with invoicing & collections

· Handle scheduling and calendar coordination

· Organize and prioritize tasks and projects

· Assist leadership with day-to-day needs and follow-up items

· Monitor and organize important emails and information

· Maintain organized files, records, and documents

· Order office supplies and coordinate supply needs

· Assist with event planning and coordination

· Manage and contribute to social media content

· Coordinate multiple projects and deadlines at the same time

· Communicate professionally with clients, families, and business partners

· Jump in wherever needed to support the team and keep operations moving

We’re looking for someone who:

· Is good at making sound, value/character based decisions

· Is exceptionally organized and detail-oriented

· Has excellent written and verbal communication skills

· Can comfortably multitask and prioritize deadlines

· Is dependable and takes ownership of their responsibilities

· Is comfortable working in a fast-paced environment

· Has a positive, “how can I help? What can I do next?” attitude

· Is comfortable working independently while also being a strong tram player

· Is professional, friendly, and personable

· Is proactive and doesn’t always need to be told what needs to be done

· Has strong computer and organization skills

Qualifications:

· Associates or Bachelors degree preferred, but not required

· Previous administrative, office coordination, operations, or related experience preferred

· Strong organizational and time-management skills

· Excellent communication skills

· Experience with Apple Products, as well as Applications such as, Microsoft Office & Google Workspace is preferred

· Strong attention to detail

· Ability to handle multiple priorities and meet deadlines

· Professional and positive attitude

Pay: $20.00 - $24.00 per hour
