Job Overview

We are seeking a dynamic and highly organized Personal Assistant to provide exceptional administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and facilitating effective communication across departments. Duties

Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
Prepare, proofread, and transcribe documents, reports, and correspondence with precision and attention to detail.
Organize and plan events, meetings, and conferences from start to finish, ensuring all logistics are handled efficiently.
Handle confidential information with discretion while maintaining professionalism in all interactions.
Facilitate internal communication by drafting emails, memos, and updates; ensure timely dissemination of information across teams.
Support bookkeeping and data entry tasks using QuickBooks and productivity software to maintain accurate financial records.
Coordinate project activities by tracking deadlines, preparing agendas, taking minutes during meetings, and collaborating with C-suite executives on various initiatives.

Qualifications

Proven experience as a Personal Assistant or Executive Assistant with strong office management skills.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and video conferencing software such as Zoom or Microsoft Teams.
Demonstrated experience in event planning, project coordination, and managing multiple calendars simultaneously.
Strong typing skills along with exceptional proofreading and transcription abilities.
Knowledge of bookkeeping practices using QuickBooks or similar accounting software.
Outstanding communication skills with professional phone etiquette and the ability to handle confidential information responsibly.
Experience working with multi-line phone systems, Docusign for document signing, and office technology tools.
Ability to work collaboratively with diverse teams including C-suite executives while maintaining a high level of professionalism.
