Full Job Description

Position :

Front Desk Supervisor

I. Department: Front Desk (Lodging) or Rooms (Lodging)

II. Reports to: Front Office Manager

III. General Purpose: Oversees the Front Office - assisting with supervising the day-to-day operations.

IV. Essential Duties:

Front Desk: • Assists the Front Office Manager with implementing and maintaining excellent service to achieve guest satisfaction by assisting in all aspects of the Front Office which includes the Front Desk, Switchboard, Concierge and Bell staff. • Ensures that reports are being run on a timely basis. • Assists the Front Office Manager in ensuring efficient and accurate guest registration, check out and telephone service. • Reviews current day’s occupancy, expected arrivals and check all VIP and special request reservations to ensure that they are pre-registered and blocked properly and correct package tickets are attached. • Assists Front Office Manager in relaying all pertinent information to staff including Front Desk, Concierge, Switchboard, Bellmen, Doorman, the following shift supervisor and the Director of Rooms. • Maintains communication with Housekeeping concerning the status of checkouts and arrivals. • Assists the Front Office Manager in interviewing, hiring, training, planning, assigning, and directing work, evaluating performance, rewarding, and disciplining associates; addressing complaints and resolving problems. • Assists guests with any problems or concerns, offering suggestions and possible alternatives, utilizing excellent reasoning and decision making skills. • Assists Front Office Manager in customer relations, i.e., responding (when indicated) to guest comment cards, letters and phone calls. • Communicates any guest problems or issues to the Front Office Manager or Director of Rooms. • Is responsible for the direct supervision of the Bell Staff, Doormen, Shuttle Drivers, including the preparation of their schedule. Budget/forecast guidelines will be adhered to unless special circumstances arise. • Will coordinate all guest transportation requests as well as the scheduling of associate shuttle when occupancy levels determine this need. • Will monitor the “Concierge” email to insure that all emails are responded to on a timely basis and all requests are coordinated – i.e., flower purchases, guest amenities, etc. • Assists in the orientation and training of all new Front Office associates. • Responsible for change bank and application process during each shift. Other: • Activates the appropriate emergency procedures in the event of a fire, accident, weather or medical emergency. • Incorporates safe work practices in job performance. • Maintains flexibility to take on new and different tasks as directed by the Department Manager. • Attends Staff Meetings

V. Education/Experience:

Certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination and experience.

VI. Language Skills:

May be required: to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; to write routine reports and correspondence; to speak effectively before groups of customers or associates of the organization.

VII. Mathematical Skills:

May be required: to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

VIII. Reasoning Ability:

May be called upon: to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

IX. Physical Demands:

Frequently stands, walks, talks and hears. Regularly uses hands to finger, feel or handle, reaches with arms and hands. Occasionally sits, stoops, kneels, crouches or crawls. Regularly lifts up to 10 pounds and occasionally lifts up to 25 pounds.

X. Vision Requirements:

Regularly uses close, distance, color, and peripheral vision as well as depth perception. Ability to adjust focus.

XI. Environment/Noise:

Noise level is moderate.

XIII. Job Knowledge, Skill, and Ability Preferences

• Ability to read and speak English may be required in order to perform the duties of the job (e.g. the associates may be required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English). • Strong knowledge of lodging system application, Microsoft Office applications
